About the Team
The Workplace team manages our workplaces/offices globally. They manage the workplace experience, office operations, events, food and beverage operations, workplace-related projects, communications, projects, and internal and external stakeholder relationships.
Responsibilities
- Leadership - Lead and develop vendor teams who support workplace services for one or more locations.
- Facilities Management - Oversee and manage the workspace, including maintenance, ticketing system, improvements and workplace services.
- Vendor/Team Management - Manage vendor and supplier teams, KPIs, contract negotiations, service level agreements and performance reviews to optimise workplace services (e.g., cleaning, maintenance contractors, etc).
- Office inventory - Ensure regional offices have required supplies, inventory and stock including company level displays and signage.
- Company culture - Support events, community activities and actions that support the workplace experience (e.g., gifting, well-being facilities, events, merchandise, etc).
- Space management - Partner with cross function teams to enhance workplace space utilisation, experience, efficiency & productivity.
- Budget management - Manage, analyse and optimise investments/savings through office services, cost control and expense tracking.
- Collaboration - Collaborate and support other teams as applicable to provide a great workplace experience such as physical security, food, real estate & facilities, environmental health & safety.
- Sustainability - Implement and enhance sustainability initiatives within the workplace in accord with company CSR targets & direction.
- Technology - Manage office services technology and initiate further efficiencies to optimise services (e.g., ticketing systems, on call communications, office forums etc).
- Event planning - Organise and enhance company events, meetings and programmes.
- Business partnership - Applies a user and business first mentality by creating a welcoming, unique environment focusing on the user and customer experience to enhance business and team productivity through efficient and result-driven stakeholder management.
- Data analysis and insights - Research, analyse data and propose insights, improvements and analysis through reports, simplified visual representations, and other quantitative and qualitative means to drive data driven results and proposals.
- Project Management - Lead and support full-cycle small and large scale projects (e.g., office moves, return to office, internal programmes, regional events, etc) with project governance, tracking, reporting, management and execution to deadlines.
- Continuous improvement and global mindset - Contributes, innovates, improves & implements workplace solutions, ideas and programmes that benefit employee productivity and company growth at a regional and global level.
- Supports other regional offices in overseeing food management in partnership with the COE (e.g., across LATAM, EMEA, APAC).
Qualifications
- Strong team leadership, development, business partner and stakeholder management skills.
- Holistic workplace, office management, community, events and facilities experience.
- Contractor/vendor, IFM and finance/budget/P&L management.
- People management of internal/external suppliers.
- Project/programme management and strong problem solving skills.
- Strong ownership, data and insight skills; - integrates and applies strategic and operational thinking in daily practices and projects.
- Excellent communication, interpersonal & presentation skills (oral and written).
- Experience or potential to act at regional level to influence and drive decisions & programmes.
- Excellent judgement, decision-making & influencing skills, particularly in complex situations.
- Innovative and solution-focused. Identifies business opportunities that enhances productivity and overall operations.
- IFMA, BOMA, CoreNet, PMP, or other industry equivalent certifications preferred.
- Domestic and international travel may be required ad hoc.
