Position Summary
The Workflow Specialist is responsible for supporting the workflow for all projects on their assigned shift. This role is the center of the project workflow system; coordinating the day-to-day deadlines and ensuring that proper communications are taking place for assignments. This person will ensure quality control processes are being met for each project.
This is a fast-paced role for a seriously organized, multi-tasking individual with the ability to adjust to different personality types and changing priorities with attention to quality. This role requires an individual to take the initiative to manage deadlines and expectations with excellent communication skills (verbal and written) applied daily to communicate effectively with our project requestors and
team members.
Duties and Accountabilities 1
State key duties to be performed
§ Assess, manage and assign print and digital projects through our digital project management system
§ Communicate directly with internal requestors to vet their initial requests for clarity and address goals and deadlines prior to assigning the work to a team member
§ Understand each team members' skill-set and capacity to assign work effectively to meet project expectations and deadlines
§ Investigate and release bottlenecks to keep work flowing through the routing process. Follow-up daily with each team member to ensure all deadlines and quality control processes are being met.
§ Guide team members on best practices for our digital project management system. Ensure projects are updated in real time within the system
§ Seek ways to improve client service, communications and efficiencies
§ Able to use the Firm's project management system to determine capacity across the team and forecast blockages
§ Re-prioritize projects and reassign work as needed to meet requestor needs as they evolve
§ Foster relationships with cross-functional departments to advise and guide to ensure smooth workflow on all projects
Qualifications
Degree, certifications, knowledge, skills and abilities required to perform this job
§ 5-7 years of project management experience, preferably in an in-house design team
§ Bachelors preferred
§ Knowledge of a digital project management system is required
§ Proficient level: Microsoft Office applications
§ Impeccable communication skills (written, verbal and presentation) to effectively address all levels
§ Leadership, communication and collaboration skills that bring positive and productive teamwork across the organization and its resources at all levels
§ Print and digital marketing experience is required
§ Must have strong organizational skills and meticulous attention to detail
§ Must have the ability to be flexible with personal scheduling to meet deadlines
