Duties: The schedule for this position is Monday-Friday 9X5
The non-negotiable annual salary for this position is $42,616.60 (NAGE Unit 1, Grade 12, Step 1)
Create, edit, store, retrieve and revise Microsoft Word documents, including letters, envelopes, memorandums, reports, forms, petitions, etc. Utilize copier and fax machine throughout each day to provide the documents requested from various sources. Perform data entry and retrieval in the Inmate Management System (IMS). Responsible for taking and distributing minutes of meetings as needed. Receive and screen all incoming telephone calls for the assigned office. Take accurate and detailed messages, forward all telephone calls appropriate personnel. Process all incoming mail for the assigned office. Responsible for maintaining filing system and ensuring documents are filed timely manner for assigned office. Exercise and maintain sound judgment and maintain confidentiality in handling all confidential material/information. Maintain numbered correspondence logs and ensures timely responses. Fill behind all Administrative Assistant II's in all duties and provide coverage for any department in the facility as needed. Will provide switchboard coverage when needed. Performs all other related duties as requested.
Preferred Qualifications:
Knowledge of clerical office practices and procedures including record keeping, office correspondence control, types and uses of office equipment and supplies, business letter and report preparations, etc. Knowledge of business English including spelling, word meaning and word usage. Knowledge of the standard office practices relative to handling of incoming mail. Knowledge of the types of standard applications of standard office filing systems. Ability to exercise discretion in handling confidential information. Ability to follow oral and written instructions. Ability to deal tactfully with others.
Comments:
This is a Civil Service position. Please note that salaries for union positions are determined according to the provisions of the respective collective bargaining agreement. Qualifications

MINIMUM ENTRANCE REQUIREMENTS:
Applicants must have at least (A) two years of full-time, or equivalent part-time experience in office work the major duties of which included typing, or (B) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. A diploma as evidence of graduation from a commercial or business course of a recognized high school or vocational/technical high school maybe substituted for a maximum of one year of the required experience.
II. A diploma as evidence of graduation from a course other than a commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.
III. A diploma for completion of a program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.
IV. An Associate's or higher degree may be substituted for a maximum of one year of the required experience.*
Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
