Your team responsibilities
The role will have primary responsibility for 401(k) Plan administration, audit and compliance as well as vendor management. The individual will have experience in the broad spectrum of health and welfare benefits including plan design and management. The individual must maintain strong relationships with employees, internal and external partners to ensure seamless benefit administration for employee retirement plans in US and Canada and the US Charitable Contribution Program

Your key responsibilities
• Maintain detailed knowledge of legislation and administrative requirements to ensure 401(k) program compliance. Assure that appropriate paperwork and notices to Plans and for participants are prepared and transmitted timely - including SPDs, annual notices, Non-Discrimination Testing, IRS Determination Letter, etc. Coordinate and review compliance work on the 401(k) with compliance team.
• Acts a primary contact for day-to-day record-keeping matters. Respond to inquiries regarding 401(k) technical, product, and compliance questions by researching and resolving issues.
• Partner with our Fiduciary Advisors to actively plan and drive the governance and agenda for the Quarterly Investment Committee (development of meeting materials, meeting minutes and ad-hoc Committee requests).
• Responsible for annual Contribution True-Up, and Safe Harbor Contribution in addition to monthly requests from Finance.
• Ensure compliance with all applicable laws and regulations related to employee benefits, including ACA, ERISA, HIPAA, and COBRA. Work closely with external auditors, legal, and finance to ensure accurate and timely completion of benefits-related audits and filings.
• Provide support and guidance on other health and welfare benefit plans; serving as liaison for benefits information and retirement plans.
• Execute and implement redesigned benefits, including communications tailored to business needs, workforce requirements, and legislative changes. This may involve revising employee-facing communications, policies, and plan documents.
• Provide support for Merger & Acquisition due diligence.
• Build effective working relationships with external partners, clarifying and communicating desired program needs, negotiating vendor contracts and agreements and monitoring service targets.
• Collaborate with benefits vendors and consultants to ensure the smooth operation and effective delivery of benefits services.
• Assist with annual open enrollment planning, communication, and processing activities.
• Create and run reports from HR databases related to US health and welfare benefits, both scheduled and ad hoc.

Education and Experience
• College degree with 8-12 years of benefits experience
• Experience in successfully balancing multiple projects and deadlines.
