About Training Project Coordinator

  Description

  The Training Project Coordinator will assist our training Project Manager in organizing ongoing training projects, training schedules and instructor assignments. The Training Project Coordinator will also organize and participate in virtual Instructor Led Training (ILT) course deliveries, providing support to the instructor and student participants throughout live virtual classroom sessions. The Training Project Coordinator may also participate in stakeholder meetings, provide follow-up communications, and highlight potential obstacles to meeting project deadlines. This role will also contribute to coordinating course delivery calendar updates, assist with instructor preparations, prepare and maintain documentation, monitor and facilitate project and training activities, and ensure that all deliverables are properly organized and finalized.

  Training Project Coordinator responsibilities include working closely with our Project Manager to prepare comprehensive training action plans including gathering and evaluating information from previous trainings to evaluate performance against success measures, identify areas for improvement, and coordinate future training sessions. You must maintain complete and accurate training documentation, student attendance sheets, training plans, and other records of contract activities as required by the FAA and ensure that they comply with FAA Writing Standards. Excellent time management and communication skills are crucial, as you’ll collaborate with clients and internal teams to meet expectations by stated deadlines. You should also be meticulous when it comes to preparing documentation and reports. You will need to be able to work on tight deadlines, be competent in using Microsoft Office applications, and have exceptional verbal, written, and presentation skills.

  Primary Responsibilities

  Meet regularly with Project Manager and team member on training project status, team updates, upcoming items, and client communications

  Maintain and monitor training delivery plans, training schedules, and work hours

  Work with the Project Manager to incorporate improvements

  Assess project risks and issues and provide solutions where applicable

  Maintain project tracking applications and notify project manager of potential risks to meeting deadlines

  Ensure all deliverables and associated documentation are maintained appropriately for each project

  Document and publish training project data

  Maintain frequent communication with team all members to assess their progress, needs, or opportunities before they become issues

  Organize meetings with clients to discuss and resolve short-term issues involving scheduled and upcoming training, instructional design projects, and any other contract matters

  Prepare and distribute meeting minutes to project team members as needed

  Contribute to the preparation, maintenance, and adherence to a written training schedule, which includes the proposed course names, dates, locations, method of delivery, and instructor availability

  Compose and send training invitations and post-training summary reports

  Track and create reports on measurable training outcomes and maintain training records

  Create, maintain, and distribute official student attendance records

  Manage and maintain in-house training facilities and equipment

  Manage logistics for training activities

  Support the maintaining of productive relationships with external training suppliers

  Coordinate off-site training activities for employees on occasion

  Train new hires on team policies and procedures

  Provide administrative support, as needed

  Assist with project tasks, as required

  Position Requirements

  Bachelor's degree in business administration or related field of study and 5+ years of experience in a related field. Additional experience may be considered in lieu of a degree.

  Proven work experience as a Project Coordinator, Training Coordinator, or similar role

  Prior experience with instruction or training

  Solid organizational skills, including multitasking and time-management

  Exceptional verbal, written, and presentation skills

  Excellent client-facing and teamwork skills

  Strong critical thinking, analytical, and problem-solving skills

  Ability to work on tight deadlines

  Proven ability to prepare and interpret flowcharts, schedules, and step-by-step action plans

  Working knowledge of file management techniques and other administrative procedures

  Experience in project management, from conception to delivery

  Familiarity with risk management and quality assurance control

  Strong working knowledge of project management software (e.g., Microsoft Project, Trello, Smartsheet, etc.)

  Competency in Microsoft applications including Word, Excel, PowerPoint, Visio, and Outlook

  Ability to work effectively both independently and as part of a team

  Ability to obtain and/or maintain Public Trust security clearance

  Preferred Qualifications

  PMP certification

  Success in coordinating federal instructor-led or computer-based training course projects

  Experience with managing records in Learning Management Systems (LMS)

  Pay Range:

  Pay Range $61,750.00 - $111,625.00

  The Leidos pay range for this job level is a general guideline onlyand not a guarantee of compensation or salary. Additional factors considered in extending an offer include (but are not limited to) responsibilities of the job, education, experience, knowledge, skills, and abilities, as well as internal equity, alignment with market data, applicable bargaining agreement (if any), or other law.
