TIMECARD C0LLECTION COORD -REMOTE ROLE
SUMMARY
This role responsible for the Weekly collection, processing and reporting of hours from various timecard collection tools for approx. 850 contractors that work at various client locations. The Payroll Coordinator will maintain the system for all active contractors by activating the weekly new hires and terminating contractors that end their assignment.
The main deliverable of this role to is produce the Weekly Payroll report with accurate reporting of the contractor timecard hours and reporting of any other earnings.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Duties include but are not limited to the following:
Review hours reported on weekly timecards including hours reported on timecards in the Vendor Management Systems to ensure accuracy and compliance with specific state Overtime rules
Follow up with contractors on status of timecard entry
Follow up with internal team Account Executives and Recruiters on client approval of reported hours
Managing PTO hours by confirming available PTO and follow up when a discrepancy arises
Review of data in placement record and follow up on any missing information
Activate new hires
Process terminations
Entry of data in the contractor’s placement record
Review email communication for Terminations and address any hours reported after termination date
Partner with the Payroll team to confirm hours reported for final payment when a term is from a state that that requires immediate payment
Confirming benefit hours have been accrued in order to be paid
Prepare the Weekly Payroll Report. Quality Control check all hours reported for each Friday payroll.
Follow up on any unapproved timecards to obtain client approval of reported timecard hours
Track any hours adjustments needed on the next week’s payroll
Email follow up on any open items.
Responding to inquiries from contractors, regions and payroll team
Collaboration with payroll team to resolve any issues
Regular and predictable attendance is an essential function of this position.
SUPERVISORY RESPONSIBILITIES
This position supervises has no supervisory responsibilities.
QUALIFICATIONS
EDUCATION and EXPERIENCE
Bachelor’s Degree (B.A.) from four?year college or university, or related experience and/or training; or equivalent combination of education and experience.
