  POSITION SUMMARY

  Working with the team this role will help manage all the Creative output from the brand cluster for which the cluster is responsible. This role will be responsible for the programme management and tactical execution of any brand creative requirements, including (but not limited to) VM launches, light box updates etc.. It will also support the Senior Creative Operations manager on new store openings (new, remodel, relocation) for department stores and pop ups & events. In addition will have an overview of asset creation campaigns. The role will work closely with multiple stakeholders including UK Brand teams, Global brand teams, UK Commercial, Finance, Procurement, IT and store operations.   Working with the Senior Creative Operations Manager, Store Designer, VM designers and Digital designers the role will manage both OPEX and capital expenditure budgets. As part of the role you should actively work with the wider Operations Teams to help find creative cost savings in design of stores whilst maintaining high standards.

  It is key that the role and individual be a positive team player, supporting and flexing to requirements for the brands and business.

  This role will take an active role in mentoring the Creative Operations Co-ordinators within the team (from all brand clusters).

  KEY ROLES & RESPONSIBILITIES

  GENERAL

  • Support by managing key tasks within creative projects (e.g. store construction) whilst managing some creative projects end-to-end (e.g. light box roll outs, locator updates).

  • Work closely with and brief vendors.

  • Attend multi-discipline project update meeting and where necessary ensure appropriate and detailed minutes are produced.

  • For your brand cluster, keep the Project Management Tool (an internal database which tracks all projects undertaken by the department) up to date.

  • Create and distribute regular project reports to project stakeholders.

  • Assist Senior Creative Operations Managers and Creative Operations Manager on the management of paperwork and processes.

  • Liaise with suppliers to obtain cost estimates.

  • Collate all documentation required in relation to raising of Appropriation Requests (Capex Budget)

  • Raise POs and track these on the brand's OPEX budget and the PM tool. Liaise with external contractors to track issuing of POs and confirmation of invoices.

  • Liaise with finance team on an ongoing basis to track capex and purchase orders. Some chasing of these will be required.

  • Log any cost saving initiatives via the same system and in collaboration with procurement.

  • With the team, continually seek opportunities and enhancements to improve project schedule delivery timescale, including post audit of prior projects to aid future installations

  • Working with the brand and the property services team, help manage maintenance issues when required

  • You will have the ability to develop excellent collaborative working relationships with all internal and external stakeholders

  • Ensure brand equity is always maximized, in conjunction with brand and retailer guidelines

  NEW STORE OPENING SUPPORT:

  • Some understanding of construction of Counters/ Pop-ups/ Events

  • Some knowledge of retailer guidelines

  • Help maintain a usable schedule for all phases of the project ensuring all revisions to specification are regularly communicated to appropriate parties

  • Create and maintain a suitable change request log

  • Assist the team, ensuring that the snagging points are completed and signed off by store/retailer personnel, brand and landlord within 30 days of project completion

  • Support the Creative Operations Manager with any project administration task

  VM SUPPORT:

  • Project manage all booking forms for window / sites national campaign with retailers

  • Working with screen vendor, ensure all screens are up to date with latest content

  • Help Prepare preliminary cost estimates and delivery scheduled (VM, Asset creation, fixtures)

  • Establish and maintain a usable schedule for all phases of the project

  • Track and report weekly on project status

  • Help oversee production of locally designed POS

  • Create order sheets for product launch with support of Creative Operations Co-Ordinator

  • Forecast and manage inventory of all Main Line, Ancillary and POS units (with support of VM Designer)

  • With the VM Designer within the cluster, keep store matrixes (light box, VM, assets etc.) up to date

  • Work closely with the field VM team log and manage any replacement locator/graphic etc. requests.

  ASSET CREATION (CCH)

  • Whilst generally this role will not actively work on asset creation projects, there may be occasions where this role is required to do so.

  EVENTS SUPPORT:

  • Assist the team with any elements requiring support on events

  Qualifications

  JOB REQUIREMENTS & QUALIFICATIONS

  Must Have:

  Strong cross-functional coordination skills 360-creative PM skills Office 365 - Excel and Word capabilities required Global mindset and multicultural understanding

  Nice to Have:

  Qualification - Prince 2 or relevant PM experience Knowledge of local retailer/ media specs and requirements Understanding of local regulations & standards Production experience Experience managing vendor relationships
