Primary Function
The Regional Receptionist is responsible for facilitating administrative work for all staff within the region and for ensuring the general convenient setting of Reception area. The Regional Receptionist will be the first point of contact between the public, guests, vendors, and the client in a particular bureau. As such the receptionist will always present a positive, professional, and welcoming attitude.
Duties & Responsibilities
Perform various administrative functions such as correspondence, receiving, screening, and directing general inquiries and issues to the appropriate person within the region.
Manage departmental courier services.
Sorting and distributing mail to the departmental personnel.
Scheduling appointments/meetings and conference calls.
Answer all incoming calls, transfer, and direct calls to appropriate staff.
Note down contact details of visitors for future use.
Receive all incoming documents and forward it to Department Secretary after recording in the register.
Dispatch documents after recording with internal mailing system or with any other authorized parties.
Ensure the neatness and convenience of the reception area.
Monitor and control stationery and office stock supply.
Responsible for preparing a "living manual” on basic receptionist functions and update as often as it is changed.
Cleaning kitchens and making sure the pantry is stocked.
Assist in preparation for meetings, special events, kitchen/beverage maintenance and ordering office supplies.
Prepare typed correspondence (letters, memos, labels, etc.) as requested and assist with mailings (labeling, stuffing envelopes)

Languages (bi-lingual preferred but not essential)

Able to operate a multi phone line system
Comfortable with MS Office and scheduling
General office skills including fax, copying and filing
Good knowledge in administrative work.
Good knowledge in telephone etiquette.
Able to communicate effectively
Able to multitask.
Able to work with minimal supervision.
Able to prioritize and organize workloads to meet deadlines.
Professional appearance
Education & Experience
High School Diploma at a minimum is required. Professional certifications in typing or computer is a must.
Minimum 3 - 4 years of professional experience in a related field.
