  Job Description

  The Senior Procurement Agent is responsible for the supporting of all Takeda’s day-to-day Procurement activities, supporting all super users in scope with in-depth Source-to-pay knowledge, both as walk-through assistance as well as executing tasks on behalf of the users with a focus on outstanding people experience.

  As members of the TBS Procurement Solutions team, you are responsible for:

  Supporting users’ decisions related to operational supplier management and ensuring compliance to internal processes and policies. This includes but is not limited to identifying existing preferred suppliers, right buying channels and guiding users to use them

  Supporting supplier selection in alignment with the requirements received from the business.

  Delivering the end-to-end Procurement process in a compliant, effective and efficient way, with a focus on cycle time and improved user experience

  Ensuring the right solutions are put in place to enhance people experience, aiming at making users feel supported throughout their Procurement experience.

  Supporting process improvements, for example by means of flagging issues, concerns and opportunities from the supported countries and BUs and partnering with the Continuous Improvement workstreams

  Coordinating with the Contract Operations Team where applicable and ensuring all relevant enablements will be activated in time and in parallel to the contract management process

  Supervising or actively supporting execution of non-contract related PR/POs on behalf of the users, depending on volumes and providing guidance on processes.

  Acting as additional support for proactive issues resolution, liaising with all other relevant TBS towers and Procurement Solutions teams, and as an additional escalation point for Procurement agent

  Accountabilities :

  Support supplier selection , TPRM and on-boarding

  Ensure all information related to new and existing suppliers are provided on time and made available in the relevant systems

  Liaise with other TBS towers and GREFP and keep up-to-date with all relevant process updates or changes

  Proactively identify opportunities for improvement and manage risks upfront, to help customers feel confident and supported

  Build collaborative relationships based on trust and respect, staying involved until the customers understand the proposed solutions

  Ability to work in a fast-paced environment with constant deadlines and time constraints; open to an environment where things change constantly.

  Champion Continuous Improvement initiatives and be agents of change

  Help with Procurement Agents onboarding and supervision, coordinate response and action plans and ensuring consistency and adherence to the model

  Skils that will make you succeed in the role:

  The ability to enhance the people experience for users of the service

  Mastery of transactional purchasing system solutions and vendor enablement tools

  Robust understanding of vendor enablement concept; end-to-end process alignment and solution deployment

  Good knowledge of existing solutions available at Takeda and in TBS or ability to quickly understand interdipencies between processes and teams and to leverage interconnections

  Creative thinking in problem solving and issue resolution

  Good communication and strong presentation / consulting skills

  Bring experts together and facilitate solutions by leveraging others’ knowledge and holding themselves accountable until a solution is shared and agreed

  Ability to offer holistic solutions and responses, looking at the broader picture

  Strong business partnering skills, ability to engage others and adapt communication styles to the stakeholders’ needs

  Build trust through thoroughness and consistency

  Strong focus on metrics, trends and data and an ability to use it to effectively manage the end to end vendor onboarding process

  Significant experience in use of ERP systems, SAP Ariba and in-depth knowledge of the underlying processes

  Understand and enforce processes and polices related to supplier enablement and operational vendor management

  Qualification and Experience Requirements:

  Bachelor degree and/or 5+ years of relevant supplier management and enablement experience, Master’s degree is preferred.

  Experience or knowledge of offshore or shared service operating environments.

  Knowledge of SAP Ariba, MDG, LINC and internal procedures

  Business-level fluency in the region's primary operating language.

  German language would be an asset

  Deep understanding of transactional purchasing system solutions and vendor enablement tools.

  Robust understanding of vendor enablement concepts.

  Good problem-solving skills, communication skills, and business partnering skills.

  Ability to offer holistic solutions and responses, considering the broader picture.

  Leadership

  Proven ability to be self-directed when required but always at the best interests of the wider team

  Ability to form strong working relationships with key business stakeholders at Sr. Management level, both internally and externally (e.g. suppliers)

  Excellent communication, listening and influencing skills;, understand customer needs

  Strong stakeholders’ and relationship management skills

  Decision-making and Autonomy

  Technically strong with proven ability to make sound decisions and influence stakeholders

  Solutions oriented, with the ability to analyse ambiguous problems and develop innovative and timely solutions

  Broad business acumen with ability to understand the business implications of decisions both for the team and customers

  Establishes credibility and earns respect team and other stakeholders within.

  Able to facilitate alignment through effective influencing and stakeholder management

  Engage with GREFP to understand current and anticipate future requirements

  Coordinate vendor management-related tasks with CO Team and ensure flawless and continued support to business users

  Represents TBS and Takeda to the vendor community with professionalism

  Innovation

  Challenges the status quo evolve and improve the service offered by offering real and tangible solutions

  Drive innovation and continuous improvement activities while ensuring business continuity and minimal business disruptions

  Ensures sharing knowledge and best practices within the team

  Applies digital environment knowledge to create better solutions and insights

  Requires strong attention to detail in composing and proofing materials, establishing priorities, scheduling and meeting deadlines.

  Must be able to work in a fast-paced environment with demonstrated ability to manage multiple competing tasks and demands.
