This position is responsible for supervising a staff of Corporate Facilities building support personnel and responsible for key activities related to facilities management.to Ensures that the general and workplace experience services delivered by building support personnel (such as mail receipt and delivery, office equipment operation, conference center/event management, facility related amenities and other occupancy and property workplace experience services are delivered optimally and in alignment with employee workplace experience objectives.
MAJOR DUTIES AND RESPONSIBILITIES
Actively and consistently support all efforts to simplify and enhance the customer experience.Manage and maintain a team to complete facility related tasks and supervise key building support functions.Monitor employee productivity and provide constructive feedback and coaching including providing employee performance feedback during performance appraisals.Assist in the hiring and training of new employees.Review and approve invoices ensuring correct coding and work completion as well as follow up on payment and spending queries for both capital and expense.Supervise the vendor set up, PO creation and other financial and procurement related vendor engagement activities.May assist in the scheduling and annual tracking of the CPR/AED or similar training.Ensure proper staffing and supervision for key building support functions on a daily basis; giving direction of work of the FAs; maintaining schedules; backup office solutions, covering when someone is out, maintain staff schedule.Review and approve invoicing ensuring correct coding and work completion, working with co-workers and management, follow up on invoice payment queries.May oversee contractors for facilities renovation projects which involve the movement/rearrangement of workspace, furniture rearrangement, and minor electrical changes.Ensure the completion of daily and weekly facility related tasks, including switchboard/receptionist function, staffing/training, timely receipt and delivery of mail and packages, effective/consistent delivery of service levels to building occupants.Supervise work order requests related to office equipment (copiers etc.) and service issues (janitorial, landscapers etc.) and other general facility related issues. Assign to staff as appropriate Work with various outside contractors on facilities maintenance and equipment repairs, evaluate tasks for acceptable completion.Coordinate and assist with the setup for company events and functions, as necessary.Oversee various workplace experience services, may be inclusive of but not exclusive to, meeting/conference and event management services and areas, ensuring that the conference/meeting and event centers are properly maintained and are functioning as intended and well appointed, and ensure that other workplace experience service offerings and amenities (such as food/beverage services, fitness centers and similar) are operating as intended and in alignment with employee experience objectives.Physically inspect and observe all areas of a facility and property on a weekly basis or more often if needed.Perform other duties as assigned.
