A Day in the Life.
Meet and greet visitors with a cheerful demeanor, record arrival/departure with Company visitor sign-in system, along with controlling entrance to office suite.Coordinate on-site meetings and events and work with meeting host on all stages of planning including logistics, catering and materials for the Center Valley office.Assist with overflow and back-up coverage to division Executive Assistants as needed.Create new company ID badges for employees when needed.Purchase order and invoicing management for supplies including tracking and distribution. Supplies include but not limited to printer toner, water/coffee, kitchen and catering supplies, Staples/office supplies.Liaison with building site maintenance for repairs as needed.Coordinate office/cubicle assignments and update seating charts.Distribution of incoming mail and overnight packages, as well as assist with overnight packages when needed.Properly maintain conference rooms and common areas.Coordinate site teambuilding activities and events.Other administrative duties may be assigned to meet business needs.Conducts all activities in a safe and efficient manner and liaison with the Environmental Health and Safety team as needed.Demonstrate and promote the company vision.
KEYS TO SUCCESS:
Education:
Associate's degree and four years related administrative experience in a fast-paced office environment, or Bachelors degree and 3+ years related administrative experience in a fast-paced office environment.
Experience:
Highly proficient in MS Office applications such as TEAMS, Word, Excel, Outlook, Forms, and PowerPoint. Knowledge of SharePoint and Concur (travel/expense system) preferred, but not required.
Skills and Abilities:
Highly upbeat and familiarity with a multifaceted and fast-paced global company's operating rhythm and processes.Adapt to procedures and process changes to align with the department's and team's needs.Excellent interpersonal, problem-solving and follow-up skills, and the ability to balance multiple priorities while working under minimal direction.Need to be able to lift and/or move up to 20 pounds.Be an outstanding representative of the company at all times.Executive presence and judgment, and sound decision-making in order to communicate on an executive level and maintain a high degree of confidentiality.Collaborative teammate with proactive approach; ability to take initiative, and positive can-do demeanor.Effective interpersonal and listening skills, superior verbal and written communication skills, proofreading skills and attention to detail.Experience with technical programs and technical equipment strongly desired.
