Role Description:
The Event Support Specialist will support program needs and own operational tasks and programs for the sponsorship marketing team. The successful candidate will work with internal and external teams to create and scale processes that optimize the sponsorship effort globally ensuring an outstanding sponsor and customer experience. This role is the first impression of the sponsorship team, a critical position, and to thrive one must have passion and expertise in project management and a deep interest in doing everything possible to ensure sponsors are wildly successful.
The Event Support Specialist must be a master at critical thinking, an exceptional communicator (verbal and written), detail-obsessed, have the confidence to be resourceful on a daily basis, able to prioritize shifting tasks as needed, and the can-do spirit to repeatedly strategize and complete detailed. This role is on a team that is dedicated to sponsor success, is fast-paced, and entrepreneurial in an always challenging environment.
As part of a distributed team the Event Support Specialist may be occasionally required to attend meetings and support events outside of their normal working hours.
Responsibilities:
= General operational support across entire business
= Create all sponsorship sales opportunity in Salesforce Platform (Org62)
= Assist with GBS operations as needed
= Support inventory management of all sponsorship products and assets across the Sponsorship Marketing portfolio
= Support with the execution of global digital & live event sponsorships
= Manage the communications and logistic support of smaller events including creation of sponsor checklists, collection and distribution of sponsor assets to internal stakeholders and external agencies, general communications and answering partner queries relating to the event
= Update and manage events via an Exhibitor Resource Centre - creating tasks, ensuring specifications are communicated, sharing lead information back to sponsors in data privacy compliant formats
= Manage branding approval processes where needed to ensure sponsors meet appropriate guidelines
= Manage Salesforce reports, dashboard creation, opportunity creation and management in Org62
= Manage and update distribution lists
= Contract and MSA management for all events
= Support with various other sponsorship execution elements as determined throughout the year
Required Skills / Experience:
= Proven track record in performing well in a fast-paced environment and organizational skills to manage multiple projects at once with tight deadlines effectively
= Extreme attention to detail and project management experience
= Technical: Strong computer skills; proficient with MS Office suite, Salesforce products not required but highly preferred.
= Demonstrated ability to deliver positive customer experiences
= Flexible, fast-moving, execution and detail-oriented, with a track record of "getting it done"
= Team Player and effective communicator
