JOB SUMMARY:
Goodwill Industries International’s (GII) strategic plan is ambitious, and the Specialist Project Administrator will play a meaningful role in the execution of organizational-wide priority projects across various disciplines from the discovery phase to lifecycle maintenance. Strong communication, project management, data-tracking and reporting skills will be essential to supporting subject matter experts in the execution of projects aligned with the strategic goals key transformation initiatives.
BASIC FUNCTION:
Project Management: Responsible for managing or helping coordinate project plans, schedules, timelines, documenting member organization feedback, and ensuring that project tasks are completed on time. This includes providing technical assistance with developing business cases, identifying project objectives, defining project charters, creating project plans, communication plans, risk logs, setting deadlines, and tracking progress inside GII.
Communication and Coordination: Act as the central point of contact between different stakeholders involved in a project, including project team sponsors and managers, member organizations, and contractors utilizing the established project management systems and new product development (NPD) framework. They must communicate project status updates, schedule changes, and other relevant information to ensure everyone is informed and working toward common goals.
SPECIFIC DUTIES [1] :
Work with assigned team to monitor project goals, objectives, functional interdependencies, risks, and issue resolution, and member feedback within the framework of the established Performance Management office and NPD.
Collaborate cross-functionally as SmartSheet subject matter expert to aid in the adoption and maintenance of performance management documentation. Create and maintain performance management sheets, forms, reports and dashboards in Smartsheet using work flow automation, cross-sheet formulas and other advanced Smartsheet skills.
Provide technical assistance to project teams on the creation and maintenance of business cases, project charters, projects plans, communication plans, risk logs.
Manage changes to project scope, schedules, and costs using GII standard resources and tools.
Responsible for assisting assigned business owners in tracking project management activities including long and short-term project plans, determining milestones, work activities and timelines, and member feedback within the stage gates defined through the NPD process.
Track project performance to analyze the successful completion of goals. Develop mechanisms to identify potential work improvements supported by data analysis and customer feedback.
Escalate issues and risks to sponsors to determine and employ mitigation and resolution activities.
Assists Project Managers in setting up research feedback systems, e.g., focus groups.
Implement and configure project management software (Smartsheet) to effectively manage and report on all aspects of the program.
Create and maintain comprehensive project documentation, including project plans, dashboard files, project diagrams, and process maps.
Develop, implement, and maintain project budgets and cost reporting.
Collaborate with Analytics and Insight team members to collect and analyze data in support of organizational initiatives and establish KPIs to measure effectiveness of the enterprise projects.
RELATIONSHIPS:
Internal: Daily contact with GII team members for information exchange, consultation and collaboration.
External: Occasional contact with colleague organizations and vendors.
GII Members: Occasional contact with Goodwill members at all levels of the organization.

Proficiency in Smartsheet, Teams, and all MS Office professional Tools (MS Word, MS Excel, MS PowerPoint, MS Outlook).
Experience with SharePoint and HubSpot a plus.

EDUCATION:
Equivalent combination of education and experience in project management and data analytics. Bachelor’s Degree preferred.
EXPERIENCE:
Minimum two years’ experience in program project management or equivalent type of work preferred.
SUPERVISION:
General – Latitude is given to determine approaches, procedures and methodologies for accomplishing the work. Receives administrative review. Work is reviewed to assure that it is conceptually sound and meets assignment objectives.
PHYSICAL EFFORT:
Sedentary. Lifting – 10 lbs. maximum. Some travel required.
EMOTIONAL EFFORT:
Occasional short deadlines.
Work environment sometimes hectic with occasional periods of high stress.
