Speaker & Content Coordinator - Wealth & Asset Management Group

The Speaker & Content Coordinator plays a pivotal role in coordinating and maintaining the logistics and content details for our advisor, asset management and keynote speakers. This role serves as the primary liaison between the Wealth & Asset Management team and various partners participating within our events. We are looking for an organized professional with strong interpersonal and writing skills who possesses meticulous attention to detail and can work well with a small, collaborative, and hardworking team.
Job Responsibilities:
Coordinate all speaker communications from official confirmation to post-event
Support the Director of Programming in maintaining content calendars to coordinate cross-departmental collaboration and promotion of upcoming or new programs
Prepare timelines for speakers’ deliverables and provide updates and support as needed to maintain appropriate deadlines
Oversee the incoming speaker proposal process including initial review of content proposals and the distribution of information to appropriate parties
Track incoming requests and commitments for Barron’s content engagements at outside events and inform appropriate parties
Control inputting and updating agendas in internal databases and websites
Responsible for the development and maintenance of all data for conference speakers and submissions, including tracking all relevant speaker deliverables
Assist in creating session descriptions, scripts and copy for various events
Proof and make suggested edits while ensuring that all texts are accurate for distribution to website and marketing pieces
Process continuing education applications, credit approvals and monitor the continuing education quizzes
Issue and monitor speaker contracts while honoring projected speaker budgets
Collect speaker AV requirements and presentation files along with any special requests and work with AV Team to ensure all necessary equipment is ordered
Collaborate with the marketing and graphics teams to help speakers promote their participation on social networks
Schedule speaker prep calls and join calls to assist as needed
Assist with on-site program management, including speaker audio-visual needs, run of show, managing VIP speakers, maintaining emcee scripts
Work in various systems to manage projects, including Google Drive, FileMaker, and Cvent
Requirements:
Highly organized, with excellent attention to detail to effectively manage ambiguity and change
Strong communication and follow-up skills, with an emphasis on a friendly and professional manner to provide an exceptional client experience
Ability to work on multiple, complex conference agendas – globally, nationally, and regionally – simultaneously, calmly, and inclusively.
Strong Creative Writing Skills to assist in creating practical, engaging, and enduring content descriptions and copy for promotional use
Self-motivated with the ability to set priorities, manage timelines and meet deadlines to take ownership and accountability for job responsibilities
Ability to Travel to various events and meetings throughout the year
Capability to work collaboratively with others on team
Bachelor’s Degree & 1-2 years of professional experience preferred
