We are seeking a detail-oriented Service Department Assistant to join our HVAC Service team in our head office in Conyers, GA. You’ll play a pivotal role in supporting the Service department's day-to-day operations. You will collaborate with project managers, technicians and the Service manager to work with maintenance contracts, work orders and reporting in order to contribute to our overall Service department goals. Your organizational skills and attention to detail will be essential in helping us achieve our goals.
What you’ll do:
Contract Management: Generate maintenance contracts and oversee the lifecycle of each awarded contract. This includes creating proposals, setting up awarded contracts in the system, generating work orders for technicians, creating invoicing per contract terms, generating renewal proposal (including analyzing profit to determine adjustments in pricing), and submitting for electronic signatures.
Contract Performance Management: Analyze contract performance to ensure a correctly skilled technician is assigned, scopes are understood, and that adequate adjustments are made to ensure costs come in as expected.
Subcontract Management: Assist in obtaining electronic signatures for subcontract agreements. This includes working with project managers to ensure data is accurate prior to submitting for signatures, preparing riders when necessary, uploading fully executed contracts into the system of record, and following up on pending requests to ensure timely completion.
Billing: Assist with Service department invoicing as needed. This includes preparing invoices, requesting purchase orders from customers, and submitting final invoices to the customer.
Accounts Receivable: Work with customers to follow up on outstanding Service department invoices.
Reporting: Generate weekly reporting regarding work orders in progress.
What you’ll need (minimum qualifications):
A bachelor’s degree in business, or a related field is preferred.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office.
Advanced skills in Excel (pivot tables, vlookup, xlookup).
Experience with contract execution and language modification.
Strong organizational skills and attention to detail.
Ability to work effectively in a team and independently.
Nice to have:
Previous experience in HVAC field.
Previous experience with Vista.
