About the Team
The Workplace team manages our workplaces/offices globally. They manage the workplace experience, office operations, events, food and beverage operations, workplace-related projects, communications, projects, and internal and external stakeholder relationships.
Responsibilities
- Leadership - Lead and develop the workplace experience across multiple office(s)/location(s) directly and indirectly inclusive of the office, internal and vendor team(s) - including suppliers, SLAs, KPIs and contract negotiations.
- Complex and global project management - Apply project management governance and management across large/small scale projects that are complex (e.g., office moves, return to office, internal programmes, global programmes, regional events, etc).
- Global Matrix Stakeholder & Risk Management - Navigate and work directly and indirectly with global stakeholders and teams to deliver projects, requirements and innovative solutions. Foresees, mitigates and de-risks accordingly.
- Space management - Partner with cross function teams to enhance workplace space utilisation, experience, efficiency & productivity. Ensure regional offices have required supplies, inventory and stock including company level displays and signage.
- Strategy - Apply strategic direction for sub-region to enhance business productivity in partnership with business leaders.
- Culture & User Experience - Drive events, community activities and actions that support the workplace experience (e.g., gifting, well-being facilities, events, merchandise, etc).
- Budget/finance management - Plan, execute, forecast and monitor spend & productivity efficiencies.
- Food/Beverage operational support - Support where needed, in overseeing food management in partnership with the COE.
- Facilities Management - Oversee and manage the workspace, including maintenance, ticketing system, improvements and workplace services. Implement and enhance sustainability initiatives within the workplace.
- Vendor/Team Management - Manage vendor and supplier teams, KPIs, contract negotiations, service level agreements and performance reviews to optimise workplace services (e.g., cleaning, maintenance contractors, etc).
- Budget management - Manage, analyse and optimise investments/savings through office services, cost control and expense tracking.
- Technology - Manage office services technology and initiate further efficiencies to optimise services (e.g., ticketing systems, on call communications, office forums etc).
- Event planning - Organise and enhance company events, meetings and programmes.
- Business partnership - Apply a user and business first mentality by creating a welcoming, unique environment focusing on the user and customer experience to enhance business and team productivity through efficient and result-driven stakeholder management.
- Data analysis and insights - Research, analyse data and propose insights, improvements and analysis through reports, simplified visual representations, and other quantitative and qualitative means to drive data driven results and proposals.
- Lead and support full-cycle small and large scale projects (e.g., office moves, return to office, internal programmes, regional events, etc) with project governance, tracking, reporting, management and execution to deadlines.
- Continuous improvement and global mindset - Contribute, innovate, improve & implement workplace solutions, ideas and programmes that benefit employee productivity and company growth at a regional and global level.
- Support other regional offices in overseeing food management in partnership with the COE (e.g., across LATAM).
Qualifications
- Certifications in facilities, real estate or workplace experience preferred.
- Strong negotiation, RFP, contract management skills.
- Strong understanding of workplace design principles, technology solutions, and industry best practices.
- Exceptional project management, communication, leadership and finance management skills.
- Holistic workplace, office management, community, events and facilities experience.
- Contractor/vendor/IFM and finance/budget/P&L management
- Strong ownership, data and insight skills.
- Excellent communication, interpersonal & presentation skills (oral and written).
- Regional and multiple office management with demonstrable success.
- Excellent judgement, decision-making & influencing skills, particularly in complex situations.
- Innovative and solution-focused - Identifies business opportunities that enhances productivity and overall operations.
- IFMA, BOMA, CoreNet, PMP, or other industry equivalent certifications preferred.
- 0-40% of travel may be required.
