Job Responsibilities:
Administrative Support:
Work with the school and program directors; attend weekly meetings and initiate correspondence.
Maintain confidential records
Manage the SOFA Administrative Office: hire, train and supervise eight student office assistants; answer questions about the school. Assist with Open Houses and other recruiting and promotional events on campus; maintain the main school office: equipment, supply cabinet; and submit facility requests for any needed cleaning, painting, phone and facilities’ needs for all SOFA faculty and the main office.
Take, review, edit, and distribute meeting minutes of SOFA faculty meetings, Town Hall Meetings and retreats
Clerical: Schedule meetings and visits; file; communications; maintain file of SOFA course outlines and syllabi, as well as Schedule of Courses.
Maintain Honors Show Archive
Provide assistance as requests are received from CAD Student Services, CAD Marketing and Communications, CAD Dean’s Office, RIT Admissions, other RIT departments, and alumni.
Arrange for families to meet with a program director/faculty member and tour facilities. Provide referrals for hotels, Admissions, Residential Life, other degree programs at RIT; send visit questionnaire.
Event Management: reserve rooms and arrange for Catering and room setup
Arrange travel for SOFA school director and assist with travel policies and procedures.
Compile orientation folders for incoming MFA students.
Budget Support:
Monthly reconciliation of all SOFA accounts
Class Trips: assist faculty with advance purchases, air and lodging arrangements, communication to students, and process travel expense reports.
Faculty travel to National Portfolio Day events and process Travel Expense Reports. Record faculty travel and track professional development funding balances.
FVASA (Film Video Animation Student Association): purchase supplies; assist with communication; reconcile committee expenses; and record student hours worked
Submit business expense reimbursements, faculty payment requests, and guest speakers’ honorariums
Order supplies through approved RIT vendors
Make deposits at the Office of Student Financial Services
Final faculty search candidates: generate reimbursements after campus visits, process hotel payments, and reconcile expenses
Student Support:
Respond to prospective and current student needs and questions via email, phone, or in-person.
2nd-Year Review: Analyze data on all 2nd-year SOFA students—schedule advising meetings as needed
Assist academic advisors with Freshmen Enrollment
Personnel:
Issue adjunct faculty contracts and hire paperwork. Onboard all new faculty.
Faculty and staff searches: schedule phone and final interviews, and search committee meetings. Arrange travel, and create and distribute finalists’ itineraries and evaluation questionnaires.
Hire SOFA undergraduate and graduate student employees. Provide online time-keeping support, additional training, and sign-off back up.

Required Qualifications:
Associate’s degree or equivalent experience

Job Summary:
The College of Art and Design at Rochester Institute of Technology is accepting applications for a full-time Senior Staff Assistant position in the School of Film and Animation. The ideal candidate will become one-of-two senior staff assistants providing daily administrative support to the School Director, three Undergraduate Program Directors, one Graduate Director, 22 additional full-time faculty, and 5-10 adjunct faculty. This position is responsible for direct supervision of up to eight student employees, support to 375+ student majors, as well as budget oversight and the day-to-day operations of the main school office. The senior staff assistant is a direct report to the SOFA School Director.
