  Job Description Primary Function of Position:

  As the Senior Manager, FM Operations & Services you will be responsible for managing the operations and services of facilities; Repairs, Maintenance, Services (Janitorial, Front desk, Mailroom, Building Ambassadors, Office Supplies, Event Support & Move, Adds, Changes (MAC), Corporate Food Services, Transportation) impacting the overall employee experience. This role will engage with cross-disciplinary staff to conceive, design, and develop programs, policies, and processes that align to the company’s culture and enhance the employee experience. The Senior Manager, FM Operations & Services will also oversee the day-to-day operations of our workspace and ensure that it is a welcoming and functional environment for our employees. You will be responsive, flexible, and able to succeed within an open, collaborative peer environment.

  Roles & Responsibilities:

  Report into Director of Facilities Maintenance, Workplace Services & OperationsMaintain Facilities in compliance with local, county, state and federal regulations.Manage day to day Maintenance and Operations and ensure building uptime.Manage supplier relationships including vendor service contracts, periodic and ongoing performance & budget (KPIs, SLAs), Quarterly Business Reviews, financial review, conducting RFPs, and assuring performance of program.Manage outside vendors, including the integrated facilities management provider, to assure reliable and cost-effective building systems. This work will require engagement with all levels of corporate organization to improve the workplace experience as measured by performance metrics, customer satisfaction, and innovation efforts.Oversee daily activities needed to ensure a functional, efficient, and safe working environment for employees.Manage contract services in support of building and facility operations including proactive and reactive maintenance and repair of mechanical, electrical systems, back-up generators, building BMS systems, elevators, and other technical building systems required to support the business.Manage customer facing contract services in support of general employee services such as cafeteria services, coffee & tea services, landscaping, Janitorial, trash & recycling, mail distribution, pest control, etc.Implement and maintain programs and projects to maximize the utilization of facility assets.Serve as the regional Facilities representative during compliance and regulatory audit activities. Including FDA and ISO audits.Demonstrate financial responsibility to develop and administrate annual operating and capital budgets.Design and help implement guidelines, best practices, and standards for cross-functional service teams.Create a welcoming and collaborative workplace through proactive management and by building outstanding relationships with all stakeholders.Manage, train, and motivate the Workplace Experience team, including outsources programs, to exceed expectations and deliver excellence across the suite of services within our portfolio.Ensure all Workplace Experience services are delivered to standard.Proactively address service issues, complaints/escalations, or incidents including tracking action plan to closure.Report out on program updates on a weekly, monthly basis to all levels of the organization.Develop and track program sustainability metrics as needed.Undertake regular vendor quality checks/audits and ensure customer satisfaction.Develop annual operating budget for each program. Identify cost-savings opportunities. Review expenses monthly and develop variance explanations.Perform other duties as assigned supporting the employee experience and delivery of services.In leased properties, insure that landlord operational obligations are being fulfilled. Provide remote services as required to field sites for items not supported by the landlord.Develop, track, and report on facility operations budgets.  Complete monthly reforecast of expenses. Execute promptly on direction to revise spending as required by company targets. Develop, supervise, and implement coherent strategies for providing a high quality, cost-conscious, consistent level of facility maintenance, and operational services and amenities. Assists in the development and implementation of real estate operational policies, procedures, and practices. Collaborate with global peers to ensure consistency of services, alignment on procedures. Proven ability to develop, track and report on annual expense budgetsProven ability to develop, track and report on project capital budgets.Knowledge of industry accepted Accounting procedures.Proven ability to control costs and analyzes the effectiveness of services and supplies. Qualifications Skills, Experience, Education, & Training:

  Minimum Bachelor's degree and at minimum twelve years of relevant post-graduate professional experience in operations/facilities management with a minimum of five years of experience leading a team, with a demonstrated progression to greater levels of responsibility and leadership.Broad knowledge in the areas of facilities management, including building MEP systems, EH&S and regulatory compliance.Knowledge of mechanical and electrical building systems, capacities and performance criteriaResponsable for the BMS systems across the global portfolio. Analyze data, assure data quality, and derive actionable conclusions. Suggest, justify, and manage BMS improvement projects.Strong understanding of the financial analysis process, P&L, ROI and sound business judgment.Detailed knowledge of facility operation methods and project management techniques.Knowledge and experience with common building systems and Industry operational practices for operating, activating and de-energizing building systems.The individual should have excellent problem solving and communication skills.Experience in managing effective and positive relationships with outsourced suppliers.Experience with space utilization (moves/restacks/shared workplace).‘Customer  first’ mindset. Desire to provide excellent customer service.Strong analytical skills.Knowledge of sustainability and environmental management systems.Interest in environmental and/or social issues.Excellent business judgment and a practical, common-sense approach to getting things done.Highly developed interpersonal skills, with strong ability to lead internal and external resources, and demonstrated ability to communicate effectively with people at all levels, from individual contributor to executive leadership.Highly effective communication skills - writing and speaking skills through written proposals, meeting facilitation, oral presentations.Ability to work well in a fast paced, team environment, taking a leadership role and dealing with ambiguity effectively.   We provide market-competitive compensation packages, inclusive of base pay, incentives, benefits, and equity. It would not be typical for someone to be hired at the top end of range for the role, as actual pay will be determined based on several factors, including experience, skills, and qualifications. The target salary ranges are listed.
