What Your Job Will Be Like:
We are seeking a highly motivated and professional Senior Management Assistant (SMA) in the Climate Change Security Center, organization 8900, to provide support to the Director. The SMA reports to the Director, works closely with the 8900 Senior Managers, 8900 Technical and Operations Points of Contact, the Center Business Team, and the Center OAA team. This position offers networking opportunities with both internal and external organizations and colleagues. Under limited direction, the SMA will perform a diverse set of administrative duties directly related to the day-to-day operations critical to the success of the Center, with opportunities for special assignments/projects, as needed. Due to the nature of the work and the Center’s business model, the selected applicant must be able to work onsite full time.
On any given day, you may be called on to:
Maintain the director's calendar and arrange meetings
Provide professional administrative support to the director of the Center
Arrange travel, process expense reports, and reconcile corporate credit card statements
Set up and coordinate customer visit meetings
Assist with the management of office functions, including office moves
Coordinate signature items and maintain electronic signature database
Manage Center records, such as Non-Disclosure Agreements
Coordinate and execute all requirements for in person, virtual, and hybrid meetings
Process incoming and outgoing unclassified visits and coordinate related logistics
Lead initiatives or annual corporate processes such as property coordination, Ethics training, ECP, and ERA
Maintain and monitor the center's training records
Handle multiple tasks simultaneously, paying close attention to detail in a fast-paced environment
Lead and mentor the Center administrative team.
Arrange Center All-Hands Meetings, Manager Meetings, and special recognition ceremonies
Serve as an information source on organizational policies and procedures
Provide backup support, as requested, when the Division 8000 EA is absent
Capture and track action items to bring to the attention of the Business Administrative Team
Exercise appropriate discretion and judgment when handling high-level contacts and when exposed to sensitive information
Model personal excellence by maintaining a professional and helpful demeanor
Build relationships with Division 8000 EA, SMA, OMA, and administrative team, who are in CA
Use an anticipatory approach to address impending challenges and opportunities
Assist in preparing presentations and written communications at the Center level
Respond to and coordinate urgent customer requests and concerns, which can take place daily
Assist in managing the Director’s email queue
Lead coordination of community building events
Due to the nature of the work, the selected applicant must be able to work onsite fulltime

Qualifications We Require:
High school diploma plus five or more years of directly related experience supporting management from an administrative perspective
The applicant must have passed, based on Sandia specified grades, the Sandia Secretarial tests
Proficiency with Microsoft Office software for word processing, spreadsheets, presentations, and collaboration (Applicants must be proficient in Microsoft Word, Excel, PowerPoint, and Outlooky)
DOE L or Q level security clearance or equivalent active security clearance with another U.S. government agency (e.g., DOD)
Applicants must meet the minimum pre-requisites to be scheduled for testing. The applicant will be contacted and scheduled for the next available test date. All applicants must be prepared to test upon application submittal. Once successful testing has been completed, the hiring manager will be notified.
Full consideration will not be given to applicants that have not met all the pre-requisites including testing. Interviews will not be scheduled until the applicant has successfully test-qualified and has been selected by the manager as a top applicant. Passing the test does not guarantee an interview or a selection.

Qualifications We Desire:
Proficiency with managing and prioritizing multiple tasks and working independently in response to high-level direction
Ability and inclination to team effectively with managers, staff, other senior management assistants, office management assistants, and executive assistants
Experience with related energy/climate organizations or programs
Administrative experience with a broad set of stakeholders both national and international to include DOE, NNSA, and other entities
Knowledge of security and access requirements for coordinating and hosting visitors from U.S. and Foreign stakeholders
Strong critical thinking skills and initiative to act in a problem-solving mode
About Our Team:
The Climate Change Security Center focuses Sandia’s expertise to mitigate and adapt to the effects of climate change. The Center consists of both the Earth Sciences and the Renewable Energy groups and has responsibility for leading climate strategy development for all of Sandia; overseeing the Earth Sciences Research Foundation; and managing laboratory and field work.

Security Clearance:
Position requires a Department of Energy (DOE) L or Q security clearance to start, or equivalent active security clearance with another U.S. government agency (e.g., DOD). Sandia is required by DOE directive to conduct a pre-employment drug test and background review that includes checks of personal references, credit, law enforcement records, and employment/education verifications. Applicants for employment need to be able to maintain a DOE Q-level security clearance, which requires U.S. citizenship. If you hold more than one citizenship (i.e., of the U.S. and another country), your ability to obtain a security clearance may be impacted.
