  Visa’s Global Data Office (GDO) is seeking a Senior Executive Administrator reporting to the Global Data Office’s Chief of Staff.

  We’re scouting for an experienced event planning professional and administrator to support the ongoing development of our world-class team. This individual will provide foundational support to our team resources to facilitate programming and operations that benefit the Global Data Office community (including colleagues in 39 markets, the Global Data Office Leadership Team, and Chief Data Officer). The Senior Executive Administrator will be the backbone to the Global Data Office’s core team communications and programming for both front and back of house. They will manage key details, small and large, work that will demand speed, precision, and solid judgment.

  Core to the role is the responsibility to support the forward planning of the Global Data Office’s programs including on-the-ground logistics, scheduling, and event and travel planning as required. We are seeking someone with an established track record of executing high-quality team programs and events, and efficiently managing complex logistics and travel. Of note, the position will not manage the Chief Data Officer’s daily calendar, ongoing day-to-day administrative support, and immediate troubleshooting.

  To be successful, a creative willingness and resourcefulness to self-produce, use internal assets, and think like an entrepreneur will be essential. To thrive, a successful candidate should have a ready willingness to stress the details to deliver exceptional outcomes.

  Essential to this role are excellent record management habits, spreadsheet fluency, modern and user-friendly design thinking, as well as a relentless focus on anticipating needs. A consistently high operational standard and above-average fluency in Microsoft Office software is non-negotiable. Confidence to ask probing questions and thinking critically will serve the position well.  Those who find satisfaction in bringing order and methodically building programs through trial and error, overcoming obstacles, as well as seeking actionable feedback are best suited to thrive in this role.

  Position Responsibilities:

  Long-term planning as tour & event coordinator

  Ongoing long-term planning for (1) the Global Data Office and (2) Chief Data Officer (typically a 2-10 month time horizon.) Examples include Quarterly All-Hands Meetings, annual internal Data Summit, market visits, and team training.

  Responsibilities include:

  Forward Planning for programs and events in Visa offices/destinations, delivering a consistently high-standard level of support for (1) itinerary, (2) content, (3) internal participants and external guests, and (4) coordination meeting spaces, meals, and onsite transportation.Supplying internal partners and external guests with necessary resources to verify and plan (1) pre-event briefings and materials, (2) event standards and logistics, and (3) post-event thank you notes, follow ups, etc. To succeed with this responsibility, candidates should:

  Confident collecting quotes, preparing summary of options, and working with sourcing,Exceptionally organized with dedicated attention to detail and records management,Experience with developing detailed multi-day itineraries for executives and senior leaders (domestic and international), andBe fluent in planning stages for an international trip (for example: planning, briefing, delivering, and follow up)  

  Global Data Office Executive Team Leadership

  The successful candidate will be responsible for onboarding new direct reports to the Chief Data Officer. Related, they will own and manage helpful best practices resources, and training assets to equip the Global Data Office Leadership Team and Hiring Managers with consistent evergreen onboarding materials.

  This position will also be responsible for team organizational charts and monthly team updates.

  The position will be responsible for key team admin, including but not limited to personnel updates, Leadership out of office tracking, and key team processes.

   

  Financial Management

  Accountable for event expenses and reporting (on time and complete). To succeed with this responsibility, candidates should be:

  Confident operating within internal compliance and policies,Interested in embedding best practices for internal financial operations,Fluent in budget management and comfortable with the ongoing speed of quarterly deadlines, andConfident negotiating and managing contracts with external partners and suppliers.  

  Communications & Administrative Management

  To plan and successfully execute on the role’s accountability, the successful candidate will need to provide clear, ongoing, proactive and responsive communication, often cross-culturally.

  To succeed with this responsibility, candidates should demonstrate:

  Strong verbal and written skills in English, being clear and concise,Confident composing and sending internal communications to large groups,Experienced drafting correspondence,Confident gathering, organizing, and formatting materials,Experienced using templates, formatting guidelines, and corporate standards,Exceptional with records management and filing systems for historical reference and speedy retrieval,A preparedness to plan and chair meetings related to accountabilities,Skilled at taking minutes and notes during a meeting, and holding those committed accountable unprompted),Comfortable using soft power to persuade others to support initiatives,Above average ability to research, compose summaries, and preparing reports,Over time and exposure, comfortable advising and making recommendations.  

  This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site), with a general guidepost of being in the office 50% or more of the time based on business needs.

  Qualifications Basic Qualifications:

  2 or more years of work experience with a Bachelor’s Degree or an Advanced Degree (e.g. Masters, MBA, JD, MD, or PhD)

  Preferred Qualifications:

  5 years minimum of relevant experience with increased levels of responsibilitySeeking a technologically savvy individual with an above-average fluency in Outlook, Excel, SharePoint, Teams, and PowerPointFor example, can sort and create pivot tables in Excel for large batch files, and experienced with shared Outlook mailbox, Calendar, Contacts, etc.Demonstrated and sustained record of proven organizational and time management skillsExperienced in prioritizing needs, sensitive matters, and managing information flowCan triage and manage competing priorities, without neglecting important, but not urgent items in seasons of high volume or significant changeProactive in planning and forward thinking, clear on actions taken and those that face delaysProfessional and diplomatic, with exceptional interpersonal skillsA willingness and personal drive for ongoing learning to strengthen soft and hard skillsSkilled at managing expectations and anticipating needsValues and exhibits confidentiality with an established record handling confidential and sensitive items with discretionSelf-motivated, self-starterAble to problem-solve and independently overcome obstacles including last-minute changesAble to meet tight deadlines and work calmly under pressure Additional Information Work Hours: Varies upon the needs of the department.

  Travel Requirements: This position requires travel 5-10% of the time.

  Mental/Physical Requirements: This position will be performed in an office setting.  The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

  U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 98,000.00 to 125,000.00 USD, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity. Visa has a comprehensive benefits package for which this position may be eligible that includes Medical, Dental, Vision, 401 (k), FSA/HSA, Life Insurance, Paid Time Off, and Wellness Program.
