Job Description Primary Function of Position:
This position provides executive administration support to the senior leadership of the Europe headquarters in Aubonne, Switzerland and any applicable senior level visitors to the site.
Furthermore, this position supports the administrative and logistic efficiency of the leadership for the site and for Europe headquarters including planning, coordination, and preparation of a variety of meetings & events.
Roles and Responsibilities:
Executive Administration (Aubonne only)
Provide support to the VPs of Aubonne with daily administrative tasks.Maintain calendar by scheduling meetings, appointments, events, and travel worldwide (including completion of expense reports and travel bookings).Develop a solid understanding of the complex, global environment and be able to credibly and confidentially interact with individuals inside and outside of the company at various levels of seniority to resolve logistics issuesAssist in developing, editing, and publishing presentations, letters, minutes, and reports.Drive on demand specific projects or in-depth deliverables.Assist in admin activities related to site legal entity responsibilities and requirementsSupport VPs with travel expense reportingSupport the coordination of large scale training organized on siteRaise POs and process departmental invoices for departments and functions where no dedicated resource can provide this supportBuild partnership with other executive admins in Europe and globallySupport to senior directors on site to be determined. Occasional support may be required. Meeting and Leadership team coordination
Coordinate all regular site Leadership Team meetingsManage shared box folder and minutes of Leadership Team meetingsCoordinate any Europe wide governance meetings such as Monthly Alignment Meetings and Regional Alignment Meetings and any evolution of such meetings in the futurePlanning and coordinating onsite and off-site meetings, events, and activities, both at the local level and at the regional level Management and coordination of executive visits to the Aubonne site
Coordinate with the site Leadership Team to maintain overview of senior (VP+) visits to the site as well as large departmental team meetings and key external visitors (eg cantonal authorities)For senior executive visits ensure end to end ownership of the logistics of the visit. Design the agenda and full planning for the visit (all hands, social, 121s, etc) in partnership with the executive admin of the visitor Aubonne site events
In partnership with work place services ensure site events are well organized including communicationOwn the Aubonne all hands and business update coordination with site leadership in relation to content and coordination of presentationsOwn select Aubonne events that directly connect to the priorities of the Europe and HQ Leadership Team
Qualifications Required Knowledge, Skills, and Experience:
Minimum of 10 plus years’ experience of wide support provided to Executive level staff in a multinational and fast-growing environment.Demonstrated project management skills (including tools).Demonstrated analytical and problem-solving skills.The position requires an experienced self-starter who is proactive, detail and deadline oriented and works well under pressure.Strong written and oral communication skills and the ability to operate in team environments.A keen ability to organize, prioritize and juggle tasks with limited guidance.A dependable team player with business maturity, enthusiasm, and a positive attitude.Flexible and reliable.MS Office proficient – Excellent knowledge of PowerPoint.Fluent at least in English and French, German is a plus.Having worked in a US group and/or in the medical/healthcare industry environment is a plus.Ideally experience working in a matrixed environment and matrix siteStrong team playerAbility to remain cool under pressure and to remain flexible in an evolving environment #LI-Hybrid
