Role Overview
The position plays a critical role in constructing the environment for the ultimate member experience. Reporting to the Manager of Member Experience, this position is responsible for managing all aspects of the planning and execution of event logistics. This position requires 30- 50% travel.

Responsibilities
Responsible for the logistical planning, coordination and execution of all World 50 Group core programs including summits, roundtables, special programs, and next programs
9 - 12 in person programs per year and additional programs and virtual programs as needed, size and scale of events may varyCreate unique and exclusive experiences consistent with the World 50 Group brandWork closely with member services team to ensure master lists are created and updated in a timely mannerAssist in developing and managing event related-collateral (e.g. welcome card, menu, maps, etc.)Responsible for tracking summit supply needs and coordinating with member services teamWork closely with Producers to ensure best overall experience for membersDevelop and manage logistics timeline for each summitCoordinate lodging and transportation as neededTravel to Gatherings (as needed) to lead onsite logistics, may be required to attend additional gatherings in a support role Tracking and Reporting costs vs budgets Conduct site visits and research as needed to secure locations for gatheringsMaintain vendor relationships and related contractsTake initiative in building productive Member Experience team by leading new projects and encouraging othersWork closely with Finance and Accounting Department AMEX/VISA coding in expensifyCommunication regarding finances across departments as requiredReviewing Salesforce Dashboards and logging all contracts and invoicesWorking on Salesforce Projects with Salesforce and Digital Team and helping to move projects forward.Observing, compiling and communicating data as it impacts gathering decision making

There will be required time that may involve additional travel for team involvement if not located in Atlanta.Four-year degree in Hospitality, Communications or related fieldA minimum of 4 years of experience in events logistics and planningExperience working with luxury brands, corporate boards or C-suite ExecutivesExperience in catering a plus
Work Environment and Physical Demands
Regular walking (2 Hours) and standing (8 Hours) for extended periods when working seasonal off-site eventsLifting and carrying items weighing 30lb or greater
