Provide administrative support to assigned department, individual, and/or area (Business Unit SVP, VP's...). This is an on site role based in Nyon.
Key Responsibilities:
• Perform general administrative activities including screening and directing phone calls, filing as well as composing and typing general correspondence under limited supervision
• Assist in semi-routine administrative projects/tasks
• Liaise via telephone and in person, establishing and maintaining relationships with external suppliers relevant to events such as hotels, restaurants, event agencies, entertainment providers and other participating parties
• Manage schedule and calendar of management with attention to accuracy and detail
• May plan and execute meetings and events, under supervision
• Use broad range of computer programs to support development of correspondence, presentations, and to perform data entry in support of a department, significant organization
• Assistance to the company directors with respect to various administrative tasks including:
o travel arrangements i.e. flight, car rental, accommodation bookings
o processing and preparation of travel expenses
o tailoring/finalizing business presentations
o prepare meeting minutes
• Schedule domestic and international travel in compliance with existing policies and procedures
• Cooperate and support larger corporate events (e.g. conferences, team-buildings, Xmas party together with Office Supervisor)
• Provide event management support for HR department (e.g. social team events, charity occasions, volunteer initiatives)
Education and Experience:
H.S. Diploma or equivalent 4 Years previous related experience required
English and French are required
