To support the move to our new office which will be located near the Italian Quarter near the Luas line, we are seeking an experienced Senior Administrator to join us. You will work in a busy office environment where you will provide administrative support for a group of talented engineers, planners and scientists. Your duties may include the following:
General Team Support
You will provide general admin support to technical teams to assist them to effectively manage
their projects. On a daily basis you will be involved in scheduling meetings, preparing agendas, taking and distributing minutes and arranging all the necessary conference room facilities, including arranging travel and accommodation. You may be required to assist with the organisation of external events. You will assist with the preparation/formatting of documents using the Microsoft Office suite (Word/Excel/PowerPoint) and ensure filing and archiving systems are maintained.
OSEC Office Safety and Environmental Coordinator (Training will be provided)
You will be the first point of contact for office and maintenance issues, taking responsibility for
dealing with contractors to report faults and repairs, ensuring necessary paperwork is obtained to
ensure compliance. Your tasks will include:
Being the key contact for Facilities Management aspects: use of the Office Activity Manager (OAM) system for office related HSSE records e.g. facilities, inductions of new staff etc. and support business continuity / emergency planning.
Track the office eco-footprint / energy use.
Undertake monthly inspections and participate in annual HSSE audits.
Bid Support
You may be required to assist with collating information relating to bid documents and
tenders which could require liaison with different teams/departments across the business
and/or completing supplier questionnaires.
Business Information Systems
Using your IT skills you will need to raise purchase orders on our e-PL system and use
elements of Oracle e.g. process expense claims, assist others to complete their timesheets
and book travel. You may be required to set up wi-fi codes for visitors and to arrange meetings/communicate with colleagues using MS Teams.
Client Development
You may be involved with providing admin support to managers who are responsible for
developing relationships with some of our key clients. This may involve you assisting with
the organisation of external events.

You will have previous experience of working in a busy office environment and have strong skills in Microsoft Office. You will have strong communication and organisational skills. A high degree of self-management, initiative, reliability and flexibility to ensure that the best possible service is given to internal and external clients.
You remain calm and positive under pressure, always eager to tackle new challenges and contribute to team success. You effectively plan and prioritise your workload, ensuring you meet deadlines and exceed expectations. You will have the ability to handle routine and non-routine tasks with confidence and efficiency. You maintain strong communication channels with both external contacts and colleagues at all levels, ensuring that administrative matters are handled smoothly and effectively.
