General Job Description
This is a clerical position that performs responsible secretarial work for a department, which involves significant latitude for decisions in carrying out administrative phases of the work such as answering correspondence, reviewing mail, and giving information and instructions to office clerical personnel. Performs clerical work of difficulty, semi-technical or administrative duties. Types documents, tests, or forms; operates a computer using word processing, database, or other software; answers the telephone. May receive, record, and deposit fees. May balance departmental books on a regular basis. Supervision is received in the form of suggestions or general instructions when new or unusually complex situations occur. May supervise up to three full-time clerical workers engaged in performing routine office duties. Duties may vary due to emphasis on specialized activities of various departments.
Essential Job Functions
Assists department head on a variety of administrative and professional matters.
Receives incoming mail and composes replies independently.
Acts as receptionist.
May create, maintain, and update departmental documents or records on departmental computers.
Maintains time and payroll records for the department.
May approve and sign requisitions, vouchers, and other routine documents for department head.
May take and transcribe dictation.
May reproduce multiple copies of materials for classroom use or mass mailings.
May supervise full-time and student employees in routine clerical duties.
Operates office machines necessary for completion of duties.
Maintains departmental files in proper order according to procedure.
Types correspondence, exams, manuscripts, and other material for department members.
Answers and routes incoming phone calls.
May balance departmental books on a regular basis.
Compiles and prepares for signature monthly reports to administrative departments or outside agencies.
Purchases needed supplies and materials.
Processes confidential information.
Non-Essential Job Functions
May receive and/or supervise the receipt of payments from students and others for departmentally sponsored activities.
Completes a variety of university and departmental forms.
Provides information concerning general university and departmental policy.
May assist with registration.
May receive payments from students and others for departmentally sponsored activities.
May assist students with schedule problems.
Distributes mail.
Performs other related duties as assigned.
Required Knowledge, Skills, and Abilities
The individual must possess the following knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.
Knowledge of office practices, procedures, and application, including departmental and university rules, regulations, and procedures.
Knowledge of the principles of office management.
Skill in typing, as well as taking and transcribing dictation, if required.
Ability to deal effectively with other clerical employees, students, faculty and staff, and the public in person and over the phone.
Ability to compose correspondence and handle routine supervisory matters without recourse to the supervisor.
Ability to operate various pieces of office equipment (fax machine, copiers, computer, typewriter, etc.).
Physical Demands
Required Education
High school diploma or equivalent is required.
Required Experience and Training
Six months of related experience is required. Responsible secretarial/clerical experience is required.
Preferred Qualifications
Some college coursework is preferred. Experience with word processing,
spreadsheet, database, and graphics software is preferred.

Salary Information Hiring Salary - $13.32/hour
Specific Job Requirements/Duties for this Posting
This is a part-time position (30 hours/week) for the Cole Audiology Lab and the Stanley Center for Speech and Language Disorders, which are part of the Perkins College of Education’s Department of Human Services and Educational Leadership. Duties include answering phones, scheduling and managing client appointments, assisting clients, billing clients, and collecting payments.
The successful candidate will be adept at problem solving, multitasking, and organization.
Experience in billing, payment processing, and making deposits is preferred.
Knowledge of QuickBooks is preferred.

Benefit and Retirement Eligibility
This position is eligible for participation in the Teacher Retirement System of Texas ( TRS ) retirement plan, subject to the position being at least 20 hours per week and at least 135 days in length.
