Job Description:
A Records Supervisor is responsible for overseeing the daily operations and ensuring exceptional client service. The supervisor will perform duties relating to the implementation and management of all aspects of document control and records remediation for physical records.
RESPONSIBILITIES:
Analyze the client initiatives and help implement sound practices according to EPIQs Standards of Operational ExcellenceDelegate responsibilities to Records Specialists employed at the site and evaluate their performance and productivityEstablish records department policies and procedures and ensure quality control through review of the staffs workMaintain a high level of client service and respond quickly and effectively to the clients needsSupervise records staff including recruiting, training, performance management and developmentEnsure staffs administrative tasks are completed in a timely manner (time entry, PTO, etc.)Register new files and track the circulation of files to and from client staff in Records Management System (RMS) databasePrepare inactive files for offsite storage or destruction, performing file culling activities as requestedPerform regular inventory of files stored at client facilities, or offsite storage vendorsAssist client with retention and file transfer activities, obtaining relevant files, preparing file indexes, staging for review, and preparing for shipmentAssist client with clean-up activities, including triage, categorization, and appropriate storage or disposition of contentEnsure accurate tracking, monitoring and recording of all charges, overtime, logs and entriesRepacking boxes from damaged or oversized into newJOB REQUIREMENTS:
High School Diploma or GED3 years supervisory experience preferably in records management, data entry or warehouse managementPrevious experience utilizing records management systems such as OpenText Content Manager and working knowledge of Microsoft products (especially Excel)Ability to multitask with attention to detail and accuracyAbility to function with a high level of patience, tact and diplomacy in handling any complaint situationsAbility to work independently with minimal direct supervisionAbility to lift or move 70 lbs. or greaterAbility to walk, bend, kneel, stand or sit for an extended period of timeAbility to travel to satellite office locations as needed with an estimate of 30-50%.
