Overview:
The Specialist Records management role will report to the Head of Records Management and will be instrumental in the implementation of the Enterprise records management (ERM) policy and standards in Mizuho US Operations (MUSO).
This role will contribute to the development of the records management strategy and its execution for MUSO to meet the policy requirements. The candidate in this role will work closely with MUSO Business leads and Business Records Managers through a federated model to provide the necessary support to fulfil the responsibilities listed for this role.
As a change agent, the candidate will support the adaption of ERM policies and standards through collaboration with Business, Legal, Compliance, Risk, IT, and external vendors. The role will focus on proactive monitoring, governance, risk identification and escalation, as well as making sound risk decisions commensurate with the business/division's risk appetite and all risk/legal/compliance programs.
Responsibilities:
Support the ERM Framework implementation and adoption roadmap for MUSO. ERM Framework will address physical and electronic records (structured and unstructured)Ensure MUSO processes are in place and operating effectively for governance and oversight of records management activities and controlsSupport conformance to records management Policy and Standard with the effective implementation of Operating Model, RACI, and Controls.Construct consolidated record retention schedule based on requirements provided by Compliance and Legal departmentsProvide operational guidance on the implementation of record management tools and processes for MUSO. Link with business users and Technology to create operational versions of the schedule so that effective record retention processes and controls can be developed and implementedPrepare progress reports/root cause analysis to management, as well as a Y-o-Y plan to improve the records management practices within MUSOContribute to an annual review and assessment of the Program including metrics, benchmarking, and auditing to measure success over timeEstablish strong relationships with leadership, business partners and functions with a goal of fostering a collaborative approach to maintaining the ProgramIdentify data/records and technology management risks and escalate key and emerging risks in-line with policyEnsure a smooth transition from Change to BAU activities and assist in stabilizing the changeSupport continuous improvement for the ERM function, from ideation to implementationChampion training and communications related to the ERM ProgramDevelop partnerships within the Information Security and IT GRC functions to address dependencies and overlaps in the most optimal mannerDevelop programmatic ways to capture metadata and other valuable data to support records compliance
Knowledge, Skills and Abilities:
A strong understanding of Records Management principles, approaches and solutions and demonstrated applicationAbility to work effectively with all levels of the organizationDemonstrated experience with filing and content management systemsStrong organizational, consulting, change or project management skills; ability to manage a project from conception to completion, including working with end users to help them define their procedures for records retention.Demonstrated analytical and conceptual thinking.
Education, Experience and Certification:
Bachelor's degree required.Minimum 5 years' experience in the Records Management field.Professional certification, such as Certified Records Manager (CRM) preferred
Please note that this role is hybrid. The ideal candidate will live within commuting distance of the NY metro area.
The expected base salary ranges from $101k-$170k. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, certifications and licenses obtained. Market and organizational factors are also considered. In addition to salary and a generous employee benefits package, successful candidates are eligible to receive a discretionary bonus. #LI-Hybrid
