About Receptionist

  Job Description:

  We are looking for a service and team-oriented personality who enjoys supporting and completing the front office. In addition to the recurring, general administrative reception tasks, the focus is also on the demand-related support of our internal and external stakeholders.

  Your main responsibilities include:

  • First point of contact for all external visitors as well as visitors from other Estée Lauder locations

  • Operating the switchboard (greeting, forwarding and handling incoming calls, as well as coordinating individualized answering machine announcements outside of business hours and on holidays)

  • Management of internal and external mail, as well as courier services

  • Organize hotel, transport and travel bookings, for our employees via Travel Concur, as well as organizing cabs, train tickets and hotel reservations for our external guests

  • Ordering and organizing of catering as well as meeting room management

  • Supporting the HR department with candidate rejections, as well as general statistics and reports

  • Management of our temporary employees and administration of our time recording tool (Mobatime)

  • Supporting the finance department with invoices and general statistics and reports

  • Office supplies management for all locations as well as the organization of quarterly business card orders

  • Control and administration of canteen requirements, as well as substitution and selective support of canteen staff and monitoring of compliance with our hygiene standards in the canteen area

  • Supporting the training and coaching of one of our KV apprentices per semester (they rotate every 6 months)

  Qualifications

  • First experience at the reception desk and/or in an administrative role (preferably also in an international environment)

  • High integrity and discretion

  • Professional interaction with employees, suppliers and visitors

  • Self-confident appearance, even in hectic situations

  • Open to learn new things and a quick thinker

  • Willing to accept challenges and contribute to a positive team spirit

  • Flexibility despite fixed opening and working hours as well as mobility in terms of working locations (Wollerau, Lachen and Galgenen)

  • Very good German and English skills

  • Profound knowledge of MS Office (especially Excel)

  • Knows how to effectively use the communication tools Outlook and Teams
