Proposal Coordinator

As a Proposal Coordinator, you will play a pivotal role in driving project wins through meticulous proposal development and coordination. Your role will involve a keen attention to detail, adherence to deadlines, and a commitment to maintaining the highest standards of brand quality in our proposals.
Responsibilities:
· Lead the coordination, writing, editing, and production of statements of qualifications (SOQs), proposals, presentations, and other marketing collateral
· Provide significant support for major strategic pursuits
· Develop and coordinate proposals across the lifecycle while maintaining consistency of company branding standards; establish proposal schedules, analyze requirements, set up kick-off meetings, maintain accurate records, coordinate proposal sections, written and graphic; review content; handle production and delivery
· Develop and maintain support material (content, resumes, project sheets, images, testimonials)
· Brand ambassador (ensure compliance with brand guidelines for consistency)
· Collaborate across internal teams to obtain/exchange information
· Update firmwide CRM database with employee, project, and proposal information on an ongoing basis
· Assist with Open Asset (Digital Asset Management Software) – requires superior organizational skills
· Keeping abreast of industry trends, including personal development within the Architectural, Engineering, Construction (AEC) industry. Assist with the coordination of company events.
Qualifications:
· Bachelor's degree in Marketing, Communications, Journalism or English required
· 2-5 years of related experience in proposals, preferably within the Architectural, Engineering, Construction (AEC) industry
· Previous experience reading and analyzing requests for proposals (RFPs) and requests for qualifications (RFQs)
· Proficiency in Microsoft Suite, Adobe Creative Suite, and customer relationship management databases (i.e., Deltek Vision/Vantagepoint.)
· Experience with Open Asset is a plus
· Exceptional organization, grammar and proofreading abilities
· Superior organizational skills and deadline-oriented to execute multiple tasks
· Ability to work across various teams/departments to complete projects
· Ability to think critically, work independently, and manage time efficiently
· Willingness to take on other tasks as required and to accept constructive feedback
· Personable, able to work with a wide variety of personalities
· Must be located in the Chicagoland area and be able to work a hybrid work schedule
