The Center on Child Wellbeing and Trauma (CCWT), a division of the Office of the Child Advocate, supports child-serving organizations and systems in Massachusetts in becoming trauma-informed and responsive through trainings, technical assistance, communities of practice, and coaching.

About the OCA
The Office of the Child Advocate (OCA) is an independent executive branch agency with oversight and ombudsperson responsibilities, established by the Massachusetts Legislature in 2008. The OCA's mission is to ensure that children receive appropriate, timely and quality state services, with a particular focus on ensuring that the Commonwealth's most vulnerable and at-risk children can thrive. Through collaboration with public and private stakeholders, the OCA identifies gaps in state services and recommends improvements in policy, practice, regulation and/or law. The OCA also serves as a resource for families who are receiving, or are eligible to receive, services from the Commonwealth.

Purpose of the Job
Under the direction of the Executive Director, this highly organized and detail-oriented employee will support the work of various CCWT short-term and long-term projects. This support involves close collaboration with CCWT staff to generate various deliverables such as reports, slide decks, website content and routine administrative tasks.
Essential Functions and Responsibilities
• Provide project management support to project leads as directed by Executive Director, including:
o Scheduling meetings
o Note taking/Documenting next steps
o Record keeping
o Gathering resources - space, tech, supplies
o Proofreading project materials as needed
o Monitor and report on project status as needed
• Support mission critical tasks by maintaining email distribution lists, maintaining CCWT Team electronic file management system, maintaining CCWT program calendar, and assist with report preparation.
• Manage Executive Director's, and other CCWT leadership's calendars as directed
• Coordinate stakeholder and partner meetings including scheduling meetings, tracking attendance, securing meeting resources such as space, technology, and supplies, taking and distributing minutes, and summarizing decisions and next steps
• Draft, proofread, and edit presentations, promotional, and curriculum materials as directed.
• Draft, proofread, and post approved social media content
• Draft, proofread, and post approved content for CCWT's website - childwellbeingandtrauma.org
• Maintain CCWT style guide

Qualifications
Qualifications
• Demonstrated experience coordinating (short term and long term) project-based work
• Demonstrated experience coordinating multiple projects simultaneously
• Strong organizational, time management, and project management skills
• Demonstrated ability to work independently and in groups
• Highly effective communication style, both verbal and written.
• Demonstrated ability to research and synthesize information in multiple content areas.
• Demonstrated ability to pivot as the needs of CCWT or projects change, and to prioritize work independently to meet the needs of CCWT initiatives.
• Prior experience drafting, formatting, and distributing written communication including via social media/internet/intranet.
• Prior experience creating promotional materials, e.g. posters, flyers and, brochures.
• Prior experience utilizing and maintaining agency style guide.
• Skilled user of Office 365 Suite - Microsoft Word, Excel, PowerPoint, as well as Microsoft OneDrive, SharePoint, and Teams
• Skilled user of widely known/used social media platforms
• Demonstrated ability and willingness to learn additional content creation software and social media platforms as needed
• Prior experience providing superior Staff, Client, and Stakeholder customer service
Preferred Qualifications
• Demonstrated interest in policy and training development that reflects a commitment to creating a better future for children.
• Knowledge of Massachusetts state government including state agencies that provide services to children.
• Prior experience in state government and/or child serving agencies.
• Knowledge of one or more widely used project management methodologies, e.g., Agile/Scrum, DIRECT, Kanban.
• Prior experience working simultaneously with multiple projects and project leaders of various levels of authority.
• Demonstrated ability to review data and use data accurately for use in development of reports, presentations, etc.
• Strong critical thinking abilities.
Minimum Entry Requirements
Applicants must have at least (A) four (4) years of full-time, or equivalent part-time, professional experience in administrative support and/or project management, or (B) any equivalent combination of the required experience and the substitutions below:
I. An associate degree from an accredited institution of higher education with a major in administration, business, management, or public administration, may be substituted for a maximum of two (2) years of the required experience. *
II. A bachelor's degree from an accredited institution of higher education, with a major in administration, business, management, or public administration, may be substituted for a maximum of four (4) years of the required experience. *
*Education toward such a degree will be prorated based on the proportion of the requirements actually completed.
