Summary of position:
We’re looking for an experienced and collaborative Administrative Assistant to support our Energy & Power team. As a valued team member, you’ll apply strong organizational and communicative skills to the business by working directly with our teams to deliver solutions-oriented projects to our clients.
Job duties of this position include:
· Providing general administrative support, including scheduling meetings and reviews
· Assisting with meeting agendas, documentation, and distribution
· Assists project delivery team in the preparation of project set-up, reports and presentation materials
· Accurately processing and tracking both project and sub-consultant invoices
· Organizing travel and submit expense reports
· Preparing for in-person meetings and events, including booking spaces, tracking budgets, managing logistics, working with outside vendors, and attendance tracking
· Accurately filing and tracking project documents and project specific internal procedures
· Interacting with all departments and all levels of management, as well as potential external contacts
· Performing other administrative duties as needed

Here’s what you’ll need:
· High school diploma or equivalent required
· Minimum of two years of previous experience in a similar role
· Advanced Microsoft Office Suite skills
· Adobe Acrobat and/or Bluebeam skills
· Excellent oral and written communication skills
· Excellent organizational and logistics skills
· Above average keyboarding skills
· Ability to prioritize requests and manage time effectively
· Efficient time management and multi-tasking ability
· Attention to detail
Requisition Preferences:
· Bachelor’s degree in business administration or similar
· Familiarity with engineering organizations, processes, and procedures
· Experience working with engineers in a collaborative environment
· Event planning experience preferred
· Adobe InDesign experience preferred
Essential Functions:
Work Environment
Generally an office environment, but can involve inside or outside work depending on task. The work will take place in an open office environment.
Physical Requirements
Work may involve sitting or standing for extended periods. May require lifting and carrying up to 25 lbs.
Equipment and Machines
Standard office equipment (PC, telephone, printer, etc.)to be provided by Jacobs or available within the office.
Attendance
Regular in-person office attendance in accordance with established work schedule is expected. Ability to work outside normal schedule and adjust schedule may be necessary to meet peak periods and surge requirements.
Other Essential Functions
Professional behavior that enhances productivity and promotes teamwork and cooperation. Grooming and dress must be appropriate for the position and must not impose a safety risk/hazard to the employee or others.
