Position Description
As a Project Assistant, you will be an integral part of both the Operations team and the Engineering team, working closely with engineers, project managers, and other key stakeholders to ensure the successful execution of projects.
Your role will involve handling a variety of tasks that support the team, including scheduling and coordination, data management and documentation. This position requires exceptional organizational skills, meticulous attention to detail, and the ability to multitask in a dynamic, fast-paced environment.
Responsibilities
Provide support to the engineering team by managing, organizing, and coordinating project tasks and activities.
Provide support to the project controls team with administrative tasks related to budget management and scheduling.
Handle project-related paperwork, including creating reports, organizing files, and maintaining up-to-date records.
Support creation of document management procedures and implementation of company-decided document management system.
Coordinate meetings, including scheduling, sending reminders, setting up the necessary equipment, and taking meeting minutes.
Liaise with other teams, departments, and external parties as needed.
Prepare and distribute project-related correspondence.
Assist in managing project budgets and expenses.
Work with project management software to track project progress and report issues.
Perform administrative tasks as required, such as ordering supplies or arranging travel for team members.
Maintain confidentiality and handle sensitive information with discretion.
Qualifications
Bachelor's degree in engineering, business administration, or related field or equivalent experience in lieu of degree.
Experience as a project assistant, administrative assistant, or similar role in an engineering or technical environment.
Familiarity with project management principles and practices.
Proficient in Microsoft Office Suite, particularly Excel, and project management software.
Exceptional organizational and multitasking skills.
Strong written and verbal communication skills.
Attention to detail and problem-solving skills.
Ability to work effectively both independently and as part of a team.
Ability to handle sensitive information with discretion.
