Responsibilities Coordinates and performs a wide variety of administrative, logistic, and classroom assistance in support of the Personal and Professional Development Program. Assists in the production and execution of Relocation Services seminars and personal and professional development program lifecycle requirements. Supports registration of students; provides training or briefs on information and referral information and services; supports Lending Locker services including issue and recovery of Lending Locker materials; and coordinates logistics for hosting seminars and other events. Provides information to individuals and families on installation services and policies. Works with appropriate installation units and services to assist incoming personnel acculturate to an overseas military environment. Coordinates, facilitates and administers installation indoctrination briefs. Compiles and tracks data and community information. Links service members and their families with a variety of support services and installation resources. Establishes and maintains an extensive and current file of information on installation, private, and voluntary service agencies and organizations by service provided. Organizes resource information to facilitate quick and easy referral and retrieval of information. Confirms and updates resource information as needed, but at least quarterly. Establishes procedures to respond to interim information changes, and develops and maintains a referral database for users. Maintains effective working relationships and partnerships with service providers on the installation and in the surrounding community to provide resources and information to installation personnel and family members. Uses an outreach approach to promote awareness of Information and Referral programs and services by conducting briefings and educational campaigns. Establishes and maintains liaison with unit Sponsorship Coordinators. Provides Sponsorship Training to uniformed and civilian sponsors and Sponsorship Coordinators. Coordinates quarterly Sponsorship Coordinator Forum. In collaboration with Information and Referral, and Personal and Professional Development staff, assists in the development of annual Personal and Professional Development training and event calendar. Administers policies and procedures, responding to inquiries involving services available, processing or referring customer/client requests. Collects or maintains data to support higher headquarters reports. Collects, compiles and organizes information and data to meet administrative requirements. Manages databases and ensures quality of content. Prepares reports. Prepares correspondence and drafts instructions. Facilitates methods for automating reports and correspondence. Uses a personal computer to transmit correspondence and creates reports, data bases, spreadsheets, graphics, slide shows and presentations. Manipulates data to meet presentation and report requirements. Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Acknowledges customers, smiles and makes eye contact. Asks questions to determine, verify and solve problems. Checks for satisfaction on the quality of goods and services. Takes action to solve problems quickly. Alerts the higher level supervisor or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Uses required safety equipment, and observes safe work procedures. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Requirements Conditions of Employment See Duties and Qualifications EVALUATIONS: Qualifications MINIMUM QUALIFICATIONS: Bachelor's Degree in a related field appropriate to work of the position; OR appropriate combination of education and experience that demonstrates possession of knowledge and skill equivalent to that gained in the above; OR three years of practical experience that demonstrates that the applicant has acquired the knowledge, skills, and abilities equivalent to that gained in the above. Ability to create and update reports and database files using Microsoft Office applications in proper naval correspondence rules of grammar and punctuation. Ability to organize and coordinate multiple high visibility projects simultaneously. Ability to prepare documentation and presentations in proper format in accordance with naval correspondence rules of grammar and punctuation. Knowledge of a variety of support functions such as gathering statistical data, monitoring and reporting on support budgets, assisting in developing financial plans, and maintaining stock of office supplies. Skill to interact with employees at various levels in the organization and to represent the division to customers external to the organization.
