We have an immediate opportunity for a Payroll Benefit Specialist in the Chicago, IL surrounding area. After initial training completed, this role can be hybrid working in office and at home.
POSITION SUMMARY
The Payroll Benefits Specialist is responsible for weekly/biweekly payroll processing for all D&W employees including all special payroll processing runs. In addition, assist with benefit processes such as monthly billing, open enrollment, onboarding, wellness, and employee events. Maintaining accurate system data to ensure accurate paychecks and benefit enrollments.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Weekly/Biweekly payroll processing for multi-state payroll, including garnishments, benefits, and taxes consistent with federal, state, and local wage and hour laws. Review output to confirm accuracy of data.
Review of all changes entered in the database by field HR Reps and Managers. Enter other HR related changes on a timely basis for processing payroll.
Final review of employee timecards with a focus on accurate hours calculation including overtime and PTO, entering corrections for prior periods, and correcting missing punches.
Using established earnings and deductions codes and other factors that are consistent across D&W. Contact Director of HR Shared Services to implement new codes or changes to system.
Review and process any payroll tax notifications. Contact the payroll processor as needed.
Review and process garnishments received for associates in accordance with federal and state laws. Establish new garnishment payees as needed.
Create closing payroll reports as required for accounting for processing.
Create periodic state reports on a monthly or quarterly basis as compliance requires.
Interact with HR Reps and managers on documents submitted to ensure the information is accurate and within the guidelines.
Review and process invoices for employee benefits. Update benefit websites as need for employee changes not included with weekly file feeds to maintain accurate coverage.
Update benefit arrears to record payments, as needed for employees on LOA to maintain eligibility.
Update COBRA enrollment with vendors and maintain COBRA enrollments in HRIS system for changes on a semi-monthly basis from vendor reports.
Create On-demand, Weekly, Monthly, Quarterly and Yearly UKG BI/Business Intelligence reports for Human Resources and D&W Management team as requested
Assist with External Auditor requests for employee data and audit reporting.
Complete Quarterly audits of Team Member Wages and Taxes to be able to generate annual W-2’s and 1095-C’s
Develop a Monthly Wellness Message with VP HR input for all D&W locations
As part of HR Shared Services Team, attend and participate on weekly HR Team Calls regarding Payroll, Benefits and HR processes and projects.
Distribute Monthly Corporate Services Anniversary and Birthday communication
Work with Finance Team weekly to address and reconcile all GL issues related to payroll
First level resource for HRIS and Time Management systems features and functionality. Escalate to Dir., HR Shared Services as needed.
Import into HRIS system mass updates of pay rate change, bonus and incentive program payments received for Human Resources
QUALIFICATIONS:
Associate degree in Accounting and/or Finance required
Minimum of 5-7 years payroll related experience in a multi-state payroll department.
Expanded knowledge of ADP, Ultimate (UKG) Software or similar HRIS technology
Proficient use of MS Office programs (including Excel)
Experience of payroll tax at the federal, state and local levels
Highly organized and detail oriented
Prior system conversion experience, a plus
WORK ENVIRONMENT:
While performing the duties of this position, the employee’s work is performed in a typical interior/office work environment. Employee is expected to maintain an organized work area and contribute to the overall decorum of a professional setting. A minimal amount of work will require exposure to the manufacturing facility. Employee is expected to be familiar and in compliance with all plant safety and cleanliness (GMP) regulations. Workdays are generally Monday through Friday; however, the employee is expected to work additional, including weekend hours as required fulfilling job duties.
