Position Summary
The Global Partner Resources team is tasked with facilitating partner onboarding through departure, all changes and activities in between for active partners and all support needed after transitioning out of the partnership (whether by resignation, separation or retirement).
Working as part of the Global Partner Resources team, the Partner Resources Coordinator/Specialist has primary responsibility for (i) executing the internal partner promotion process; (ii) supporting all activities related to lateral partner joiners; (iii) delivering human resources support for current and former partners; (iv) managing all aspects of partner operations; and (v) supporting all activities overseen by the Global Head of Partner Resources ("GHPR"), Director of Partner Resources ("Director of PR"), and Manager of Partner Resources ("Manager of PR").
The Coordinator/Specialist will support the Manager of PR, Director of PR, and GHPR on several projects and processes related to onboarding new lateral partners as well as facilitating the transition to newly promoted partner and is expected to execute these projects/processes through completion, make relevant decisions and collaborate with other team members and other functional areas as necessary.
The role has very high partner interaction and visibility, often times with the most sensitive of matters and information. This position will also be involved in activities and matters supporting senior partners and Firm leadership including but not limited to the Office of the Chair, Vice Chair, Executive Committee, Partnership Committee, Office of the General Counsel and Regional Section Heads.
Duties and Accountabilities
Collaborate with the Lateral Partner Recruiting Team for all lateral partner hires throughout the process. This includes ensuring that all partner dossiers are accurate, competed, maintained and posted for the Executive Committee and New Partners Committee. Reach out and coordinate with incoming lateral partners for personal information, banking instructions, and provide relevant benefit details. Process partner arrivals and changes, along with assisting transfers, leaves, and departures as needed. Help to accurately process and format all contracts and presentations required by the team. Coordinate with Regional Section Heads, Regional COOs, Sponsoring Partners for billing rate and department information for lateral partners. Contact local office administrators to coordinate administrative functions prior to partner arrival. Work with the HR Operations Compliance Tracking team regarding bar admissions verification for incoming lateral partners. Notify Business Service Leaders, General Counsel, HR Regional Contacts, Local Marketing Contacts, Integration Partners, Managing Clerks, HRIS, Benefits & Finance contacts, Service Desk & GTS Account administration teams of arrivals and departures. Organize and ensure completion of arrival procedures for laterals. Coordinate all lateral partner onboarding and assist with Lateral Partner Orientations after the lateral partners join the Firm and organizing the orientation process and follow-up activities. Prepare and draft partner employment verifications for lateral partners. Assist with coordinating compensation exceptions and special deals for lateral partners with Finance/Partner Compensation team. Help with executing the annual internal new partner promotion process with the Director of Partner Resources (Director of PR) and Manager of Partner Resources (Manager of PR). Assist with the background and bar verification process for the annual internal new partner promotion process. Drafts and supports the execution of all agreements and contracts with lateral partners, conversion candidates and new internally promoted partners. Review and flag PIC/PAN notifications and ensure transactions are approved by the Partner Resources team. Supports all inquiries from all partners including those joining laterally or promoted internally. Works with the Global Mobility team on all issues related to new partners (lateral and promotions). Track execution of non-US partnership deeds. Supports the maintenance of partner information in PeopleSoft such as contact information, personal details (i.e., marital status), title changes, office transfers, assignments, promotions to partner and updates to compensation. Backup to the GHPR, Director of Partner Resources and Manager of Partner Resources, in general.
Qualifications
Bachelor's/College Degree in any field A minimum of 3 plus years working in a law firm or professional services environment Leadership skills and prior experience interacting with management required Proficiency in the use of the Firm's software, in particular, PeopleSoft, Microsoft Word, Excel and PowerPoint Has an excellent understanding of concepts relating to finance and human resource information systems, compensation and reports generation Strong written and verbal communication skills.
