Optum seeks an Administrative Assistant/ Coordinator to perform a wide variety of administrative and coordination tasks for the Informatics leadership team. Position requires handling of confidential information and business critical assignments in a professional business manner. Expected to exhibit a highly professional image to contacts both in person and on the phone. Prepare correspondence, contracts and statements of work, invoices, distribution lists, and other documents.

This position is part-time (28 hours/week) Monday - Friday. Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of 7am - 5pm CST. It may be necessary, given the business need, to work occasional overtime.
Our office is located at N17 W24100 Riverwood Drive Waukesha, WI 53188 . Employees will be required to work some days onsite and some days from home.

Primary Responsibilities :
Performs effective and efficient administrative and coordination duties for Health Informatics leadership
Support calendar management for Health Informatics leaders (director and above) as requested.This includes but is not limited to making arrangements for conference calls, appointments, on-site and off-site meetings, seminars, and conferences.Facilitates meetings and takes minutes, as requested
Compose, edit, and relay a variety of complex, confidential/ sensitive verbal and written correspondence, technical contracts and statements of work, invoices, distribution lists, expense reports and other documents. Compose other routine correspondence, forms and charts as requested. Compile data requested by leaders.
Coordinates conference calls, calendars as needed, clinical meetings, vendor meetings including scheduling of meetings, booking conference rooms, meal planning, taking minutes, and other logistical items.
Coordinates health informatics governance and advisory activities.Manages schedule of meetings, prepares documentation and reports to be reviewed at meetings, documents minutes, and prepares and sends all electronic communication to attendees.
Prepares reports and presentations with minimal direction. Composes and/or transcribes letters and other contractual documents regularly using appropriate templates.
Manages confidential and sensitive written and verbal communications.
Acts as project manager for special projects which may include; planning and coordinating multiple presentations, disseminating information, fine tuning details of the project and putting together resources and products to effectively carry out an event or project.
Answers/responds to phone calls, voicemails, and emails.
Uses discretion and maintains confidentiality while interacting with a variety of people in person and on the phone. Relates well with employees, patients/ customers, physicians and leaders at all organizational levels.
Maintains and prepares budget records and documentation.
Coordinates account payables including submitting check request, following up on payment, and tracking.
Orders and maintains inventory of office supplies and forms/forms/stationery.
Coordinates capital purchases.
Monitors functionality of office equipment and assists with troubleshooting or providing operating instructions.
Coordinates staff orientation activities.Schedules orientation activities and prepares written materials and presentations for new staff.Maintains and updates job descriptions and competencies.
Develops, implements, and revises departmental forms and brochures as needed.
Creates, maintains and ensures accurate filing of reports and other information.
Assists with printing, labeling, and assembling materials for distribution.
Receive, sort and distribute mail.
Arrange travel plans, hotel accommodations and seminar registrations as requested.
Maintain timekeeping records and function as Kronos editor.
Word processing, filing, and faxing.
Performs other administrative/clerical duties as assigned.
Prepare contractual letters and documents for pricing adjustments required as part of the technology services ProHealth Care provides to independent affiliate providers.
Manage and track revenue and expenses as contracts, amendments, and proposals are signed to assist with budget projections.
Draft letters, emails, and presentations to share important program updates and technology changes with affiliate providers.
Oversee tasks for technology and contract changes required for new affiliate providers or departing provider groups.
Provide exceptional customer service. Serve as a resource to assist affiliate providers with questions by connecting with the appropriate team members or reinforcing process to submit requests for work.
Familiar with standard concepts, practices, and procedures within the field
Regular and predictable attendance is an essential job function
