About Operations Specialist

  TOTE Maritime Alaska, the leader in safe and reliable service to Alaska, is seeking an Operations Specialist to join the team at our Downtown Tacoma office.

   

  In this position you will:be responsible for providing support to the Service Excellence Teams. The role will require managing customer relationships and providing service excellence by monitoring and accommodating customer needs, producing invoices and reports,

  providing problem resolution, creating and managing bookings, tracking and prioritizing cargo and coordinating equipment.  This position will be responsible for learning all the job functions within the Invoicing Team and will learn portions of Customer Service and the Rating Teams to provide coverage while other team members are out of the office. 

   

   

  Main Duties and Responsibilities Include:

  Build, assign and update trailer/vehicle bookings, Bills of Lading and Transport bookings. Support customers by answering questions, following cargo, and resolving issues.Coordinate hazardous shipments, answer questions regarding regulations and stipulations with confidence.Arrange logistics spots, trans-loads, deliveries, and pickups.Handles customer transactions including Documentation, Rating, Pre-Auditing, Invoicing and Problem Resolution. Develop an understanding of customer business models/processes for all accounts.Receive military cargo manifest, match up to individual TCN numbers, upload LOB reports, request changes in military BRT system as the need arises.Receiving and accountability for billable accessorial charges -- including intrastate, fuel re-bills, maintenance, and other invoice requests. Process and review Detention, Storage and other Accessorial charges for accuracy and submit for billing.Provide superior customer service to internal and external customersAnticipate and resolve customer and vendor issuesBuild positive, mutual relationships through open and interactive communicationIdentify process improvements, and work with assigned team to improve and document procedures.* *

  The ideal candidate will have:

  Associate degree is preferred with four years of experience in the transportation industry.Excellent verbal, written, organizational and communication skills.Excellent math skills.Must be a standout colleague and provide support to the department.Multi-task and prioritize with little or no supervision. Ability to work at a high level of accuracy and to anticipate and understand customer needs.Knowledge of state and federal bridge regulations and trailing equipment a plusComputer literate, with the ability to utilize standard software applications and be proficient in Windows and MS Office Suite (Outlook, Work, PowerPoint, and Excel)* *

  The salary range is $38,300 -- $67,100 with an anticipated hiring range $42,000 - $50,000. Pay will be based on several factors including the candidate's education, work experience, work location and specific job duties.
