The Operations Document Administrator (Contract) will be responsible for supporting ICS Client and Partner Services (C&PS) in providing high standards of delivery for Smart and Private Library process, Summit, Enhanced Packaging, Control # look ups, ETF and Consents and Fulfillment and co-ordination and support of production.
Key Job Functions/ResponsibilitiesEnsure a timely response to all internal requests for Private Library submissions according to specified time framesMaintain and update Private Library spreadsheetsLoad all Private Library documents into Smart Library using a web-based programSegment Prospectus and Prospectus related documents daily using a web-based programReview, sort, and forward Smart Library spreadsheets with notation of any issues to Operations Team on a weekly basisEnsure all Summit materials handling and delivery are Co-ordinated to support production fulfillmentEnsure all delivery requirements to support Enhanced packaging are completed and in place to support productionBe responsible for ETF Consent and Fulfillment JobsSupport the C&PS team with requirements related to production fulfillment and deliveryWork with outside partners and vendors to ensure delivery of production related items is completed, tracked and delivered in a timely mannerWork with internal and external resources to ensure World Class deliveryComplete special reports as assignedOther duties as assignedBasic Skill Level Requirements
Education:College Diploma in Business Administration or equivalent work experienceMutual Funds, SEDAR and Fund-SERV knowledge is an assetExperience:Minimum 2 years of Client Services experiencePrevious experience as an Administrative Assistant, Coordinator, or Project AssistantSkills:Excellent communication skills (verbal and written)Strong interpersonal skills, decision making skills, and attention to detailTools:Windows environmentComputer literate in MS Office with proficiency in Outlook, Excel, and WordRecruitment Process
