Job Description
Job Summary: Brinks Fine Art US is seeking an Operations & Shipping Coordinator who would be responsible for providing hands on customer service for prompt, effective transportation, clearance, import, export and routing of both domestic and international shipments in accordance with proper company procedures and protocols. This person would also be directly responsible for overseeing our local transport/trucking operations inclusive of pre-calls to clients, supervision of transport teams, ensuring teams properly equip the vehicles with the necessary tools and materials, briefing teams on daily transport operations, ensuring proper vehicle pre and post-trip reports are completed and filed, general vehicle maintenance service scheduling and liaising with other related Brinks staff to ensure a seamless transfer of information between Customer Service and Operations/Art Handler/Driver staff.
Starting pay: 55-65k
Key Responsibilities:
Receive incoming calls & e-mails from customers, Brink’s U.S. & overseas branches, Brink’s affiliates and agents and respond to requests for rates & service queries with estimates and details in a timely manner
Coordinate day to day activities with in-house and 3rd party fine art handler & transport teams
Maintain an understanding on a job-by-job basis of Customer Service commitments & pricing to clients with an eye on ensuring the services & timings planned for provided match those quoted and committed to
Work closely with all Customer Service and Art Handler / Operations / Warehouse staff to provide and accurately communicate all information and pricing for services to customers and where necessary other internal departments within Brinks, as well
Make all pre-calls to contacts for local collections and deliveries within the coming week providing a 2-hour window within 24 business hours of the scheduled collection or pick up
Generate daily bills of lading and vehicle routing sheets and lead daily briefs with art handler transport teams to ensure all stakeholders are knowledgeable with each day’s booked projects
Distribute, collect, file and ensure completeness and quality control of all Operations / Transport / Art Handler documentation
Respond to inquiries regarding the status of shipments in transit through our global network
Perform other duties as assigned and deemed necessary
Minimum Qualifications:
Minimum of 5 years of experience in Operations & Shipping Coordination within the fine art logistics field (i.e. fine art shipper(s), galleries, action houses, museums, etc) with a focus on attention to detail, industry best practices and outstanding client experience
Must be 21 years or older
Minimum of 5 years working with Microsoft Office and other transportation field software programs – both industry based and proprietary
Preferred Qualifications:
Experience with Export/Import with major airlines & air freight forwarders
More than 5 years of combined experience in the fine art shipping logistics field
Great attention to detail
