About Office Support Specialist II - Pondville

  Job Description

  Duties: The non-negotiable annual salary for this position is $54,167.36 (NAGE Unit 1, Grade 17A, Step 1)

  Assist the Superintendent in the overall administration of the institution on a daily basis; Prepares reports, memorandums, letters and related documents on various confidential and related matters for the Superintendent; Compiling and preparing information for various reports; Manage and maintain the general operations of the Superintendent's office and supervise staff; Assist or represent the Superintendent: handle incarcerated individual and staff complaints by gathering information and referring to policies, rules, etc.; Provides assistance to the Department of Correction Public Affairs Department as requested, and coordinate all public affairs events at the institution; Assist as legal liaison to the Department of Correction Legal Department; Performs the duties and coordinates responses pertaining to lawsuits and tort claims; Liaison for I.A. Unit, Personnel and Payroll Department; In the absence of the Superintendent, requests for information from the Commissioner, Deputy Commissioner and Assistant Deputy Commissioners, etc. are fulfilled; Urgent Matter Reports are drafted and forwarded to appropriate distribution list with supporting documentation being maintained; Record, transcribe, disseminate minutes to various meetings; Ensure incarcerated individuals Grievance Appeals are processed in accordance with policy and in a timely manner; Process medical parole applications; Process MCOFU grievances; Process staff discipline and Commissioner hearings; Process intakes; Process incarcerated individuals visits; Process NEO applications for Wellpath staff; Train office staff; All other duties as requested.

  Comments:

  This is a Civil Service position. Please note that salaries for union positions are determined according to the provisions of the respective collective bargaining agreement. The DOC urges bilingual applicants to apply. Applicants must have no felony convictions, to include any actions defined in 5 U.S.C. 301; U.S.C. 509, 510; 42 U.S.C. 15601-15609. The Massachusetts Department of Correction shall not hire anyone who may have direct contact with offenders, who has engaged in sexual abuse in a prison or other institution as defined in 42 U.S.C. 1997; or has been convicted of engaging or attempting to engage in sexual activity in the community facilitated by force, overt or implied threats of force or coercion, or if the victim did not consent or was unable to consent or refuse, or has been civilly or administratively adjudicated to have engaged in the activity described in the above paragraph. The agency shall consider any incidents of sexual harassment in determining whether to hire anyone who may have contact with offenders or residents.

  Qualifications

  First consideration will be given to those applicants that apply within the first 14 days.

  Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:

  Substitutions:

  I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.

  II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

  Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

  Educational substitutions will only be permitted for a maximum of two years of the required experience.
