Job Description
Duties: The non-negotiable annual salary for this position is $48,903.66 (NAGE Unit 1, Grade 15A, Step 1)
Provide assistance to Deputy Superintendent on a daily basis and monitors the operation of the Deputy's Office to ensure effective operations and compliance with existing standards. Operates state of the art office equipment and software programs to support the organization. Compose and type correspondences for Deputy Superintendent's signature, including confidential information. Receive and address phone calls for the Deputy Superintendent in a professional and confidential manner. Process office mail by reviewing all correspondences, date stamping and distributing to appropriate staff. Maintain excel log, review, and prepare all Incarcerated Individuals requests for savings to personal, for the Deputy's signature. Process all Incarcerated Individuals Request for Reasonable Accommodation to include documentation regarding Deaf and/or Hard of Hearing Incarcerated Individuals per the Briggs Settlement Agreement. Maintain filing system for the Deputy Superintendent's office including ADA requests, Therapeutic Supervision Forms, incarcerated individual correspondences to include excel files, scanning and uploading files to Power DMS and DOC Intranet. Record minutes, schedule and attend meetings for Deputy's, PREA, Care Coordination, PES, Facility Tablet Team, DOT, DOC, and others as needed. Complete various monthly and quarterly reports for NCCI Reentry Department. Run CIJIS for Reentry vendors for interviews, repair techs, workshops, Incarcerated Individuals meetings, etc. Schedule any incarcerated individuals' appointments for the Deputy Superintendent. Support Dir. of Treatment, Dir. of Classification, Housing Captain and Lieutenant, and act as Admin Assistant to the Superintendent as needed. All other duties as assigned.
Preferred Qualifications:
Knowledge of principles and practices of office management. Excellent word processing and proofreading skills. Knowledge of Department of Correction policies and procedures. Ability to follow written and oral instructions. Ability to work independently using personal initiative. Excellent organizational skills.

This is a civil service position. Qualifications

Office Support Specialist I:
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Educational substitutions will only be permitted for a maximum of two years of the required experience.
