Job Description
The Worcester Recovery Center and Hospital (WRCH) operated by the Massachusetts Department of Mental Health (DMH) is seeking a dynamic administrative professional to provide clerical support functions for the Rehab Department. The selected candidate prepares and analyzes correspondence, reports and other materials as needed; arranges meetings with internal and external contacts; responds to inquiries and assists in various office programs and perform related work as required. The Office Support Specialist must be organized and have meticulous attention to detail, with an ability to multi-task.
Please Note: This is a full-time, 37.5 hour position.
The schedule available is 9:00 a.m. - 5:00 p.m. Monday through Friday, Days off are Saturday and Sunday
Duties and Responsibilities (these duties are a general summary and not all inclusive):
Tracks time off requests, keeps staff schedules and informs switchboard of absences.Schedules and attends meetings; takes minutes and posts on shared drive.Maintains meetings and event calendars; organizes department head schedule.Utilizes computer software or databases to prepare reports, research and compiles data. Creates and maintains database and spreadsheet files; organizers spreadsheet of interns and students information.Responds to inquiries and provides information to internal and external contacts.Coordinates unit or department programs and activities (e.g. trainings, seminars, teleconferences, employee recognition activities, recruitment and retention efforts).Tracks employee performance evaluations (EPRS) and mandatory trainings to ensure required deadlines are met.Ensures office activities are operational and in compliance with standards or guidelines.Maintains electronic files to ensure that department folders are organized, easily accessible, kept current.Understands duties of other administrative support staff and provides back up as necessary; supervises other clerical staff as needed.Coordinates mail for department heads and processes mail for staff.
Required Qualifications:
Knowledge of the English language and ability to follow and provide both written and oral instructions and reports. Talent for establishing and maintaining harmonious working relationships and deal tactfully with others.Familiarity with software applications such as desktop publishing, spreadsheets, and database management.Ability to write clearly and concisely and maintain accurate records.Capacity to exercise discretion in handling confidential information.

About Worcester Recovery Center and Hospital (WRCH):
Located on over 100 acres in Worcester, Massachusetts, Worcester Recovery Center and Hospital (WRCH) is part of an integrated network of effective, efficient and culturally competent mental health services. It provides intermediate and long-term inpatient care for individuals with serious and persistent mental illness who live in Massachusetts, as well as individuals requiring specialized court ordered evaluations.
WRCH provides inpatient services to 290 adults, inclusive of a Deaf Inpatient Mental Health Service, and 30 adolescents on the ACCU.

Qualifications

Office Support Specialist I:
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Educational substitutions will only be permitted for a maximum of two years of the required experience.
