The Opportunity
We are seeking an exceptional Operations Manager to support the Office of the CEO (OCEO). This role will report to the Director of Business Operations and will manage both operational and administrative tasks to ensure the OCEO runs smoothly. This highly visible role is responsible for handling the weekly C-level staff meeting, helping to create strategic agendas, developing the corporate calendar, collaborating closely with cross-functional business operations partners and Sr Executive Assistants, organizing C-level offsites and driving special projects and processes. The OCEO Operations Manager will play an important part in ensuring all executive-level business topics are occurring at the right time with the right people to facilitate timely discussions and decision making.

You can quickly prioritize and juggle multiple demands and changes with a can-do attitude, excellent judgment, and exceptional attention to detail. You demonstrate high levels of confidentiality and discretion, resourcefulness, timeliness, and can anticipate needs with minimal guidance in a dynamic environment. This opportunity is based out of our San Jose, CA office.
What you'll Do
Operating rhythm: Coordinate the operating rhythm of C-Suite staff meetings each quarter. Communicate the rhythm to relevant organizations and calendar the meetings.Calendar development and management: Develop the fiscal + 1 calendar encapsulating all major events, key offsites, reviews, and C-Suite staff meetings with key collaborators. Share and review calendar across Adobe to facilitate fiscal planning. Create half-year calendar of strategic topics with executive administrators and business operations teams and add to calendar. Handle daily topics and calendar shifts and make timely updates to reflect the latest agenda while considering C-Suite staff commitments to ensure alignment.Calendar reviews: Review upcoming meetings each week with the Director of Business Operations. Highlight updates, issues and changes. Track canceled or postponed meetings and continuously prioritize backlog of topics and find new time slots to accommodate.Meeting material preparation: Update 2-week @ a glance schedule for C-Suite staff each week to ensure they are aware of what topics are upcoming. Remind and collect meeting agendas and pre-read materials before meetings.Meeting support: Order and coordinate meals and Board room support for C-Suite staff meetings and work with IT to ensure all equipment are in working order, agendas are final, and calls are on the IT calendar.Special projects & process improvements: Identify opportunities for process improvements within the OCEO. Support or drive special projects within the organization.What you need to succeed
Bachelor's Degree and/or equivalent work experience.5 years minimum experience in operations, project management and/or executive administrative support spaceHighly professional, discrete, and able to work quickly with confidential topics and matters.Ability to prioritize and accomplish tasks with little direction in a fast-paced environment and apply sound judgment.Project Management experience and skills, process development skills a plus.Strong communications, teamwork, and interpersonal skills. Can partner with a diverse set of stakeholders at all levels. Develops and cultivates positive relationships.Reliable and highly accessible. Available in the office during normal working hours and available via phone, email and Slack after hours, as needed.Demonstrates strong judgment, emotional intelligence, and integrity.Remains calm under pressure with strong executive presence.Can anticipate and quickly resolve problems with a high degree of initiative.Proficient in Microsoft Office, experience with Concur and Ariba.
Our compensation reflects the cost of labor across several U.S. geographic markets, and we pay differently based on those defined markets. The U.S. pay range for this positionis $67,800 -- $150,600 annually. Paywithin this range varies by work locationand may also depend on job-related knowledge, skills,and experience. At Adobe, for sales roles starting salaries are expressed as total target compensation (TTC = base + commission), and short-term incentives are in the form of sales commission plans. Non-sales roles starting salaries are expressed as base salary and short-term incentives are in the form of the Annual Incentive Plan (AIP).
In addition, certain roles may be eligible for long-term incentives in the form of a new hire equity award.
