Job Summary
Maintain an appropriate level of confidentiality. Supports in dailytasks involving calendaring, scheduling meetings, internal/externalcalls, and emails, assisting with travel arrangements, and collaboratingwith individuals within and outside the department, campus, andcommunity.
Duties & Responsibilities
Assisting Professor of Atmospheric Science
Provide input on office and department activities and serve as theprimary contact for departments. Manage the day-to-day workflow(including, but not limited to: managing calendar, monitoringincoming mail, keeping the Professor apprised of daily messages andevents). Work closely with other administrative staff in theDepartment of Atmospheric Science, School of Earth, Society andEnvironment, and College of Liberal Arts and Sciences to ensure thesuccess of all activities undertaken by the supervisor. Anticipateproblems or challenges that might arise, such as omissions oftopics, organizations, and individuals on projects or conflicting orduplicative activities.Manage communications and outreach, including the research anddevelopment of appropriate responses for a wide range ofconstituents on matters of significance. Identify and evaluatepertinent communication issues, using discretion and judgment, anddevelop and execute strategies for addressing them.Serve as the primary resource on matters of policy and procedures,and sensitive and confidential issues.Assist with the creation of a database of organizations andindividuals with whom the Professor can collaborate with.Meeting Support
Organize meetings and events in a logical manner, both on and offcampus (for example, scheduling a cluster of meetings when theProfessor will be visiting a particular part of campus or anotherlocation), and developing a working relationship with counterparts.Manage Professor\'s calendar and coordinate and prioritizeactivities to maximize the effective use of time, understanding howthe activities relate to one another.Attend meetings in place of the supervisor when requested and briefthe supervisor on the discussion and any action items given to thesupervisor.Travel Support
Coordinate logistical arrangements for conferences and meetingsattended by the supervisor that require air or other travel,including but not limited to travel arrangements, read-aheadmaterials, registration, and the provision of information requiredfor attendance (e.g., photo, biography, title, abstract, slides),ensuring that deadlines are met. Utilize the University P-Card,T-Card, and iBuy systems for travel and purchasing and provideadvice regarding the appropriateness of requested expenditures.Required Qualifications
High school diploma or equivalent.Two (2) years (24 months) of work experience comparable to the thirdlevel of this series.Preferred Qualifications
2 years of experience working at the University of Illinois.Successful candidates will have:
Knowledge of administrative and administrative procedures andproficiency in using systems such as Microsoft Office, Webtools, ChromeRiver, Microsoft Teams, Zoom, Outlook (calendaring), Box, My UIFinancials, and iBuy.
Knowledge of University and College requirements, procedures, rules, andregulations.
Knowledge of University and Departmental policies regarding documents(i.e. format, confidentiality, proprietorship), and travelreimbursements.
Ability to prioritize multiple tasks according o strict deadlines andstay organized.
Ability to deal with stressful situations, assume responsibility, andwork independently.
Ability to communicate effectively with others.
