  Office Manager - Ignite Positive Change!

  Status: Non-Exempt, Part-Time    

  Reports to: Executive Director  

  Salary: $18.46-$19.72 per hour  

  Location: Oceanside, CA

  This role is based in Southern California, specifically in Oceanside, CA (North San Diego County). It is located inside a miliary base installation. Base access is provided to civilian employees.

This role is not your typical 9-to-5; it's a chance to play a pivotal role in overseeing daily business operations and providing crucial administrative support to our stellar team.

  As our Office Manager, you will serve as the orchestrator of our daily business operations, ensuring optimal efficiency in every administrative facet. The support you provide to our dynamic administrative team goes beyond vital – it is foundational. This isn't merely a job; it's an invitation to become the heartbeat of our organization, where your skills and dedication will set the tone for seamless operations and success.

  What will you do:

  Key Responsibilities That Await You:

  Be the ace of mail: Expertly collect, sort, and distribute daily mail, ensuring outgoing mail is dispatched punctually.

  Database Dynamo: Maintain records of incoming donations and prepare deposit packets for our Executive Director/Business Manager.

  Acknowledge and Thrive: Generate donor acknowledgment letters with flair for all received donations.

  Tech Savvy: Master donor and member management software adeptly.

  Meeting Marvel: Attend and accurately document board and committee meetings, creating meeting minutes that shine.

  Financial Wizardry: Assist in collecting financial documents and keep things in order, from donation receipts to monthly reports.

  Office Oasis: Manage office supplies, order like a champ, and make sure our equipment is always in top-notch condition.

  Vehicle Virtuoso: Oversee vehicle maintenance and repairs, ensuring our wheels are ready to roll.

  Ambassador Extraordinaire: Greet visitors, answer calls, and provide information with a touch of professionalism.

  Additional Exciting Responsibilities:

  Facility Guru: Ensure branch facilities are in optimal condition, conducting monthly inspections for pristine upkeep.

  Board Booster: Assist the board in various tasks, from producing solicitation letters to updating board profiles.

  Outreach Champion: Support our Executive Director and Director of Donor Relations in sending outreach correspondence to donors.

  Assistance Advocate: Aid our Director of Services and Director pf Programs in distributing financial assistance vouchers, quilts, giveaways to program members.

  Task Tackler: Master the art of managing tasks, deadlines, and priorities to enhance overall productivity.

  Guardian of Secrets: Safeguard sensitive information, maintaining the confidentiality of personnel records and company data.

  What experience and skills you will need to be successful:  

  Superpowers You Bring:

  Must be at least 18 years old.

  At least one year experience as an assistant to a high-level executives or administrators.

  Your Toolbox:

  Excellent verbal, written, and interpersonal communication skills that create a symphony of understanding.

  Your analytical thinking and problem-solving skills.

  Strong organizational and time management skills.

  Ability to work with integrity, discretion and a professional approach.

  Your Spirit:

  Ability to soar independently and collaborate seamlessly with the team.

  A passionate, positive self-starter who thrives in a cross-functional team environment.

  Logistical Know-How:

  Familiarity or eagerness to adopt donor and program management software

  Proficiency in all standard business software.

  Physical, Mental & Environmental Requirements:

  Work in an office setting but get ready for occasional travel within San Diego County.

  Ability to sit for prolonged periods and lift objects up to 40 pounds, showcasing your versatility.
