Responsibilities
Meritage Homes is seeking an Administrative Services Manager for our Jacksonville Division. In this fast paced role, you will handle a variety of responsibilities including administrative and executive support, office management, and human resources. This role requires the ability to exercise initiative, discretion, judgment, tact, and diplomacy with sensitive, complex, and highly confidential information in a very fast-paced environment. The incumbent is responsible for providing advanced, diversified, and confidential administrative duties that require broad and comprehensive experience, skill, and knowledge of organizational policies and practices.
Administrative / Executive:
Provide administrative support for the Division President, includes managing calendars, creating and submitting expense reportsCoordinate arrangements for division meetings, luncheons, transportation, and/or eventsProactively anticipate and react to required materials for meetings, priority issues, scheduling changesPrepare presentations and documents handoutsAnswer phones, maintain conference room calendarsProcess and code invoices, set up new vendors and manage vendor accountsPerform as the building manager liaison - submitting work orders for officeMake travel arrangements for new sales associates to attend sales training classes in ScottsdaleMaintain division organization charts and updates as directedOrder company dress and giftsAssist corporate legal on obtaining documents needed for division legal mattersSort mail and order business cards for all employeesPlan, schedule and coordinate quarterly meetings and events for the Division Order supplies: general office and kitchen supplies as well as Sales office start up office suppliesEnsure compliance with all established HR processes and timelinesContribute to the Division's culture; develop and collaborate on employee engagement activitiesIT related responsibilities include access and termination requests, new hire equipment, employee hardware management, Construction Office internet setup and closures, and coordinate Division office moves
Human Resource Coordination:
OnboardingCreate new hire requisitionsOversee candidates through background and onboarding systems and processesSet up new hire's office/workstationAssist in the creation of the new hire's onboarding plan Conduct new hire orientation including new hire paperwork, submitting I-9, E-VerifyPartner with People Operations on talent analysis, promotions, transfers, leaves of absence, terminations and job changes as neededPrepare and submit employee bonusesPrepare and submit employee changes including termiations, new hires, job changes and promotionsResponsible for maintaining and uploading confidential employee documents, including bonus plans, goal alignment forms, review forms, performance management, etc.Act as liaison between the Benefits Team and employeesEnsure compliance with all established People Operations processes and timelines
Qualifications
College degree preferred with 5-7 years' experience supporting executives.Experience in real estate, commercial, property management, construction or home building industry preferred, but not required.Office management experience a plus.Advanced level technical skills with Microsoft Office tools, Word, PowerPoint, Excel, and Outlook required. Visio a plus.Strong experience developing processes/procedures and process flow documents.Exemplary written and verbal communication skills.Superior organization and project management skills.Ability to maintain confidential and proprietary information and data.Ability to work independently, think critically, and exercise delegated decision makingProactive - anticipates needs and takes action.Flexible - able to excel in a fast paced environment with changing priorities.
