  This role involves liaising with employees and suppliers, to ensure that the office in Prague is coordinated in an efficient and effective manner. The Office Coordinator is accountable for providing an efficient, well maintained, agile office environment with the ability to change with the needs of the business.

  The areas of responsibility include:

  · Facilities

  · Security

  · Logistics

  · Utilities

  · Reception

  · Ensure that the site meets all legal required H&S regulations.

  · Car fleet coordination

  · Mobile phone coordination

  MAJOR ACTIVITIES

  · In charge with all office space related tasks, required office space, parking facilities.

  · Front office reception service

  · Implementing and respecting the WBD global company's policies in real estate area, workplace strategy and office use

  · Liaising with the building owner for any problems related to the company’s location (air conditioner issues, office access, elevators etc)

  · Monitoring the general aspect of the office, maintaining a clean environment

  · Maintaining professional work conditions in terms of functionality, ensuring that damaged office equipment and furniture are replaced in due course.

  · Ensuring maintenance of the office equipment (ex. copy machines, fax, sanitary items etc)

  · Cooperate with the Security Team in regards maintenance of the office security system.

  · Ensuring the efficient use of utilities (eg water supply, electricity) in the office and reviewing the monthly invoices issued by the utilities providers

  · Scheduling the annual Health & Safety training as required by the Labor legislation in force and making sure that all employees are taking the test.

  · Ensuring that the office is properly supplied with first aid materials in accordance with legal requirements

  · Ensuring onboarding of new employees and supplying them with access cards, mobile phone.

  · Ensuring that company’s assets are properly returned before an employee is terminating the employment contract.

  · In charge with the logistics of internal workshops / team events / celebrating events (Christmas, Women’s Day etc)

  · Car Fleet Management coordination

  · Preparing PO’s related to real estate costs and ensuring that invoices are receipted

  · Maintaining the relationship with customs authorities concerning the import and export of goods, promotional materials etc.

  This role is currently for the coordination of Prague office. The location is:

  · Prague – Jankovcova (office space) of 13294 SF HC ca 60

  Selection criteria

  Previous experience in office administration in a large global business is essential

  Experience of a media business is desirable

  Competency assessment

  · Analytical Skills, Global Market Awareness, Communications

  · Problem-solving and basic troubleshooting skills

  · Great customer service and interpersonal skills

  · Friendly, service-oriented personality

  · Strong organisational and finance skills with attention to detail.

  · Strong written and verbal communication skills in English and in local language
