  Reporting to the Director, Workplace Services EMEA central, the Workplace Services Manager, Germany will be responsible for overseeing administrative tasks and ensuring the smooth and safe operation of the office environment, facilities and guest services across 6 sites across Germany. This role requires strong organizational skills, leadership abilities, and the capacity to handle multiple workplace responsibilities simultaneously, including ensuring the effective planning, execution, and completion of various facility-related initiatives. Ideally with a level of Project Management Experience, they will actively manage and coordinate a range of workplace projects and processes to deliver a welcoming and high-class office space.

  Key Responsibilities:

  Office Operations Management:Lead & direct the German team across the region through remote management and occasional travel.Manage day-to-day office operations executed through our Total Facility Management Partner, across all functions: guest services, office supplies, facility & equipment maintenance, and vendor relationship management.Build and maintain key relationships with all stakeholders across the organization including local business leadership, Real Estate, Workplace Services, Finance, Procurement, Accounts, Sales, Employee Success, IT, Health & Safety, and Security. Build and maintain relations with local Landlords and Building Management providers.Supported by HR, manage the REWS relationship with the German and the city level workers councils.Maintain a high workplace standard, ensuring we meet all necessary compliance requirements.Ensure adoption and activation of EMEA REWS playbooks and alignment with global standards and processes.Develop and implement office policies and procedures to optimize efficiency and productivity.Planning, managing & implementing Operational and or Capital projects for our German and Swiss offices.Be responsible for identifying and executing future workplace improvements and processes to create a welcoming and functional workplace environment.Manage projects as identified, related to the company's rapid expansion and environment sustainability.Align with the Global Real Estate team for future office space requirements.Be the main point of contact for Workplace Services in Germany, Switzerland and Austria.Project Management Plan, execute, and monitor various projects from initiation to completion, ensuring adherence to deadlines, budget, and quality standards across EMEA.Collaborate with key stakeholders to define project objectives and expectations.Create project plans, schedules, and budgets, allocating resources effectively.Conduct regular project meetings, track progress, and communicate updates to stakeholders.Maintain clear milestones, objectives, and goals to measure progress across all workstreams appropriately.Build and foster strong relationships within the global, REWS EMEA and all cross-functional stakeholders.Proactively manage changes in project scope, schedule, and costs.Identify cost-saving opportunities and propose efficient resource allocation strategies.Facilitate clear and effective communication among stakeholders across the regionProvide regular project updates, reports, and presentations to management and relevant stakeholders.Create and implement change management strategies, project documentation, communications, and plans.Team/Resource Leadership and Support:Act as a people manager for your direct report/s, which includes recruiting, selecting and onboarding, plus ongoing monitoring, coaching, developing and appraisals.Manage our TFM Partners both on an operational as well as on an account management level, including KPI and Budget Management.Lead vendor negotiations and contract renewals, ensuring budget compliance and compliance to SF procurement processes.Act as a role model and foster a positive work environment across the region and functions, internal and external team members, encouraging collaboration and maintaining high morale within the office.Manage allocated resources effectively to ensure the timely completion of projects.

  Experience / Skills:

  Bachelor's degree in Facilities Management, Engineering, Construction Management, or related field. Master's degree preferred.Proven experience (5 years) as an Office Manager or in a similar administrative role, with demonstrated project management expertise.Ability to manage teams and budgets.High degree of initiative, and ability to learn, understand and identify solutions.Strong understanding of facilities operations, maintenance, office operations and vendor management processes.Proficiency in project management software and tools.Excellent leadership, communication, and interpersonal skills.Detail-oriented and capable of problem-solving in a fast-paced environment.Strong organizational and multitasking skills with the ability to prioritize tasks effectively.Certifications such as PMP (Project Management Professional) or CFM (Certified Facility Manager) are a plus.
