In this role you provide general support to our Market Access and External Affairs department, and you help the teams director with administrative, financial and logistical processes. You ensure that all finance, events, meetings, and other processes are supported in a compliant and diligent way.
As the department plays an important role in AbbVie’s communication to internal and external stakeholders, you will contribute to that as well. The Management Assistant Market Access and External Affairs takes care of managing internal communication channels, publishing content on the website as well as social media and making sure that external communication materials are up-to-date and approved.
Key responsibilties
· Supporting the Market Access and External Affairs department in the broadest sense of the word.
· Planning, organizing and coordinating agendas, (large) events, team and department days as well as internal/external meetings.
· Managing and approving materials for external communications.
· Processing interactions with external stakeholders in the internal systems via MAP (compliance system).
· Managing collaborations with external social organizations to engage our Dutch colleagues.
· Preparing posts on LinkedIn and posting/modifying content on the website.
· Managing our internal communication channels (such as intranet, narrowcasting & coffee corner update) and sending the weekly newsletter by e-mail.
· Manage administrative / financial / logistical processes and working with different systems for requesting POs, checking invoices, and onboarding new suppliers.
Qualifications
· Bachelors Degree in SMI, Event Management, Communications or related studies
· At least 4 years’ experience in a management assistant, internal communications associate, or an equivalent role
· Excellent skills in Office365 (MS Teams, PowerPoint, Excel, Outlook, Sharepoint)
· Fully proficient in Dutch, good verbal and written understanding of the English language
· Comprehensive understanding of local regulations for pharmaceutical companies
· Understanding of how to apply different communications channels and materials
· Maintain a good understanding of all country specific guidelines, SOP’s, codes, etc.
· Excellent organizational/ strong project management skills
· Excellent written and verbal communication and interpersonal skills
· Ability fo prioritize and multitask, excellent time management skills
· Proactive, flexible and solution oriented
· Ability to work independently and as part of a team
