ABOUT US
The Operational Services Division (OSD) is a progressive, results-driven agency of the Commonwealth of Massachusetts within the Executive Office for Administration and Finance. OSD is comprised of several units: Strategic Sourcing Services, Office of Vehicle Management (OVM), Performance Analytics, Human Resources, Finance, Legal, Marketing, and Training, among others. OSD uses modern goal-setting techniques such as The 4 Disciplines of Execution and Agile project management to promote cross-boundary collaboration within the agency.
OSD is looking for an experienced Legal Executive Assistant that brings OSD's mission-critical competencies to their work including being action oriented and an effective communicator, valuing differences, cultivating innovation, instilling trust, and driving OSD's vision and purpose.
Duties and Responsibilities Include:
Under direction from the General Counsel
• Act as front-line liaison for approval and meeting requests for the Legal Department, including managing and maintaining schedules (adding, changing and deleting appointments) for both internal and external customers, including agenda development and scheduling room and call-in number
• Actively perform administrative tasks as directed and recommend opportunities for improvement
• Meet with internal/external customers as an executive representative
• Actively problem solve
• Actively attend professional/technical educational forums to stay current on executive assistance best practices
• Provide assistance to the Compliance Unit within the Office of the General Counsel as needed
• Organize and maintain all files (paper and digital)
• Other projects and tasks as required by the Office of the General Counsel
PREFERRED QUALIFICATIONS:
• Advanced MS Office experience
• Knowledge of the principles and practices of office management
• Ability to communicate effectively, including verbal and written
• Ability to organize large amounts of information and manage multiple projects at one time
• Ability to interact effectively with diverse groups of people
• Ability to be discreet and keep sensitive information confidential
• Strong organizational and planning skills

MINIMUM ENTRANCE REQUIREMENTS:
Applicants must have at least (A) four years of full-time or equivalent part-time experience in one or multiple areas of the following, as required by the assignment: office management or administration, finance, accounting, purchasing, or human resources or (B) any equivalent combination of the required experience and the substitutions below.
Incumbents may be required to possess a current and valid motor vehicle driver's license at a class level specific to assignment.
Substitutions:
I. An Associate's degree with a major in public or business administration, human resources, accounting, business management or other related degree may be substituted for one (1) year of the required experience.
II. A Bachelor's degree or higher in with a major in public or business administration, human resources, accounting, business management or other related degree may be substituted for two years of the required experience.
